WHAT WOULD SET YOU APART?

Bachelor's degree with 1-3 years of previous administrative support experience. Excellent verbal and written communication skills. Knowledge of financial terms and principles; able to conduct basic financial analysis.

Ability to adapt to an evolving organization and shifts in priority. Multi-tasking ability and extremely organized. A positive attitude and willingness to pitch in to get the job done.

ESSENTIAL DUTIES AND RESPONSIBILITIES

As a Senior Administrative Assistant, you will provide a wide range of administrative, business development and brokerage operations support to a senior broker.

Email and calendar management. Takes independent action on handling requests; determines the appropriate course of action, intervenes where necessary.

Reviews incoming correspondence via paper or email, takes initiative to determine appropriate action required. Leads and monitors issues for appropriate follow up including drafting responses.

Serves as a liaison between internal management, employees, clients, and visitors as required: reviews requests, schedules appointments and meetings.

Generates and analyzes CRM data to execute business objectives of deal team

Reviews internal and external collateral materials; proofreads content, ensures appropriate branding and approve materials for distribution.

Works closely with deal team to follow and improve processes and complete projects.

Acts as subject matter expert for key systems and process in deal team projects and day-to-day functions.

Plans, coordinates, and supports meetings and conference attendance; arranges travel. Plans and supports local meetings and special events.

Manages expenses for broker, ensuring timely submission of expense reports.

Coordinates and creates business development support across advisory teams.

Other duties may be assigned.

SUPERVISORY RESPONSIBILITIES

No formal supervisory responsibilities in this position. May provide informal assistance such as technical guidance and/or training to coworkers. May coordinate work and assign tasks.

EDUCATION and EXPERIENCE

High school diploma or general education degree (GED) required. Bachelor's or 4-year degree from a 4-year college or university preferred.

Minimum of four years of related experience and/or training, 1-3 years of senior to executive level support strongly preferred.

Four-year degree preferred (background in Finance, Accounting, and/or Business Analytics a plus) with a minimum of 2 years related experience

COMMUNICATION SKILLS

Excellent written and verbal communication skills. Strong organizational and analytical skills.

Ability to provide efficient, timely, reliable and courteous service to customers. Ability to effectively present information.

FINANCIAL KNOWLEDGE

Requires knowledge of financial terms and principles. Ability to calculate simple figures such as percentages.

REASONING ABILITY

Ability to understand and carry out general instructions in standard situations. Ability to solve problems in standard situations. Requires intermediate analytical and quantitative skills

OTHER SKILLS and/or ABILITIES

Intermediate experience with Microsoft Office Suite. Must have a strong command of the English language and excel in the areas of spelling, grammar and punctuation.

SCOPE OF RESPONSIBILITY

Decisions made with thorough knowledge of procedures and company policies to achieve set results and deadlines. Responsible for setting unit and/or own project deadlines. Errors in judgment may cause short-term and long-term impact to co-workers and supervisor.

The Senior Administrative Assistant for the departments of Marketing and Management is the office manager, with direct responsibilities for department budgets, faculty reimbursements and supervision of student employees. More generally, this position supports faculty needs and acts as receptionist to students and the public. Overall Functions Provide administrative support to the functions and services of the departments of Marketing and Management and all associated programs (60% of time) Act as a resource for faculty for teaching, scholarship, and service duties. (25% of time) Provide administrative support to functions and services of Albers, in general. (15% of time) Specific Responsibilities/Functions: The incumbent will provide administrative support to the functions and services of the departments of Marketing and Management in the Albers School of Business and Economics and all associated programs to include, but not limited to: * Provide administrative/clerical support for around 40 FT faculty members and 20-30 PT/Adjuncts throughout academic year. * Oversee departmental budgets through the use of InformSU. * Provide on boarding support for adjunct/ part time faculty members including requesting contracts, completing new hire paperwork and orientation. * Tracking and management of Faculty Development Funds,including submission of reimbursement requests through ProcureSU. * Ordering necessary office and instructional supplies. * Provides support to day-to-day faculty needs including printing/copying requests, management of textbook requests, class schedule management, etc. * Hiring and mentor two student administrative workstudy assistants * Assisting with departmental calendars. * Providing administrative support for department-related meetings, including several faculty led advisory boards. * Providing administrative support for various department-related projects, as directed by department Chairs. In service to the Albers School of Business and Economics, the incumbent will also provide administrative support to functions including, but not limited to: * Monitoring and supplying 4th-floor copier. * Submitting necessary facilities requests * Provide marginal troubleshooting support, connecting faculty to on campus resources as needed. * Interacting with diverse groups, including students, faculty, administrators and visitors from the public, in professional and courteous way. \ Marginal Functions: Perform other related duties as assigned.
