Senior Administrative Assistant

We're looking for a driven, ambitious, Senior Administrative Assistant to join our team. The Commercial Operations Manager is needing someone to help with Net Metering, booking travel accommodations, managing schedules, researching application materials, and coordinating with external Authority Having Jurisdiction (AHJs). The ideal candidate will have office management experience, some project management experience, strong communication skills and administrative assistant experience. The Senior Administrative Assistant will be primarily responsible for tasks supporting the Commercial Operations Manager with some scheduling support to the COO of Commercial. Tasks can include but may not be limited to:

  • Support the Commercial Operations Manager in schedule management and calendaring.

  • Overseeing billing for commercial customers, ensuring accuracy of documents, exhibits and additional documentation needed for each client.

  • Schedule travel arrangements for the commercial installation team, including but not limited to:

  • Flights

  • Housing (Airbnb, hotel, long-term housing)

  • Forklift or other equipment rentals.

  • Gather information required to complete and apply for grants, permitting or other projects.

  • Manage application process for each client, including document completion for various utility companies and state specific regulations.

  • Manage correspondence and communications, both internal and external, with professionalism and attention to detail.

  • Assisting with COO of Commercial's calendar.

  • Making outbound calls to AHJ's, customers, team members and vendors.

  • Creating and managing spreadsheets with proficiency, ensuring data accuracy and organization.

  • Maintaining internal CRM (SunBase) with documentation and accuracy to each project.

  • Additional office tasks as needed.

Skills/ Qualifications:

  • Proficiency in Excel, with advanced knowledge of formulas, functions, and data manipulation.

  • Exceptional attention to detail.

  • Strong organizational and time-management skills.

  • Ability to follow directions and execute tasks independently.

  • Excellent communication skills, both written and verbal.

  • Proactive, problem-solving skills.

  • Ability to maintain a positive, can-do attitude in a fast-paced work environment.

Requirements:

  • Associate degree in a business-related field preferred or equivalent work experience.

  • Minimum of 2 years' experience in an administrative setting.

  • Ability to exercise discretion and confidentiality.

  • Drive for success and self-motivated to meet deadlines.

  • Exceptional organizational and time-management skills.

  • Proficiency in MS Office with expertise in Outlook, Word, Excel, and PowerPoint.

  • Detail-oriented and comfortable working in a fast-paced office environment.

Pay: $18-26/hr DOE

Schedule: 8AM-5PM, Monday-Friday
