As a Senior Administrative Assistant, you will provide administrative support to leadership, management, a department, and / or division or business unit. This role will be based at our new tech office in Austin, TX. Once you're eligible, you'll become an Owner in the company, so we're looking for commitment, hard work, and focus on quality and Customer service. We are looking for:

  • a bachelor's or associate's degree
  • 5 years of experience in an office environment
  • experience coordinating projects and / or planning events

What is the work?

Administration:

  • Maintains and updates department's databases and webpages

  • Performs advanced, diversified, and confidential administrative functions requiring a high degree of independent judgment

  • Applies thorough familiarity with H-E-B and department policies

  • Plans meetings and events at all levels

  • Provides specialized support and independently manages the daily coordination of projects / process for a department

  • At an entry level collects, compiles, and analyzes information for inclusion in reports and presentations for team and leader usage

What is your background?

  • Associate's / bachelor's degree

  • 5 years of experience in an office environment, or comparable experience

  • Advanced knowledge of MS Office applications

  • Project coordination and event planning experience

  • Working knowledge in the operation, maintenance of office equipment (e.g., copiers / printers, fax machines, conference room audio / video equipment, etc.)

Primary Responsibilities: * Performs general clerical duties to include but not limited to: photocopying, faxing, mail distribution and filing * Coordinates and maintains records for staff office space, phones, company credit cards and office keys * Creates and modifies various documents using Microsoft Office * Maintains Outlook calendar(s) in current and accurate status * Coordinates meetings and conference calls as needed or anticipated * Coordinates travel arrangements as needed * Answer phones promptly and uses good judgment to prioritize the distribution of messages in a timely manner * Prepares meeting materials and assists with the development of PowerPoint presentations * Responsible for keeping inventory of all office supplies and placing orders for replenishment as needed * Records minutes at various meetings and archives them accordingly * Performs all other related duties as assigned Required Qualifications: * High school diploma/GED equivalent required OR some college coursework or business vocational school education * 5 years of administrative support experience with increasing responsibility * Proficiency with Microsoft Office applications to include Word, Excel, PowerPoint and Outlook Preferred Qualifications: * Strong attention to detail and excellent organizational skills * Must have the ability to multi-task in a fast paced and deadline driven environment * Must be able to maintain professionalism and a positive service attitude at all times * Previous experience in a healthcare environment Careers with WellMed.
