Responsibilities

This position is serves as the Senior Academic Program Specialist and is responsible for overseeing the Graduate and Undergraduate staff of the Student Affairs office in the department of Computer Science (CS).

In this role, you will be responsible for:

  • Communicating with prospective graduate students and providing academic guidance and counseling.

  • Coordinating graduate recruitment visitation weekends, including travel, lodging, and scheduling.

  • Processing application materials for prospective graduate students in conjunction with the Graduate Admissions Office.

  • Planning and organizing orientation for incoming graduate students.

  • Ensuring students meet residency requirements and working with CGE regarding visa issues with international students.

  • Serving as primary point of contact for PhD students in the Department of Computer Science.

  • Processing graduate student tuition waivers.

  • Advising graduate students on their progress to candidacy and graduation, and monitoring that all Departmental and University academic requirements are being met.

  • Managing and facilitating the entire preliminary exam process for the department.

  • Overseeing the collection of graduate student appointment information and maintaining departmental tracking spreadsheets.

  • Coordinating with Business Manager & HR rep to process graduate student appointments and producing appointment letters.

  • Working with the departmental committees and stakeholders to establish policy regarding academic requirements for graduate students and updating the Graduate Student Handbook.

  • Supervising staff in the Student Affairs office, including training opportunities and annual evaluations.

  • Tracking student progress through the major, including mapping milestones, enforcing limited access/limited enrollment policies, completing progress checks and graduation clearances, policy development and implementation, and conducting of all undergraduate orientation sessions.

Qualifications

Bachelor's degree and four years of experience; or a high school diploma or equivalent and eight years of experience. (Note: a combination of post high school education and experience equal to eight years.)

Preferred Qualifications

  • Strong written and verbal communication skills

  • Ability to prioritize and multitask

  • Experience utilizing problem solving skills and the ability to supervise others

  • Ability to gather, interpret, report, and/or edit information

  • Experience with Microsoft Office Suite, specifically Excel

  • Knowledge of the academic resources available to students

  • Ability to interpret academic program requirements and provide advice

Anticipated Salary Range

Minimum starting salary for the position is in the mid-to-high $40,000's. Anticipated starting salary will be commensurate with experience and qualifications.
