The Receptionist shall be the first point of contact for the client, thus requires professionalism in both appearance and attitude, as well as advanced customer relationship skills. The Receptionist duties are but not limited to answering client phone calls and directing them to the proper employee, greeting and signing in visitors and guests and issuing a visitors card, maintaining supply inventories. This position will conduct security patrols as necessary.

Role Responsibility:

Specific Duties and Essential Functions

  • Receiving visitors at lobby by greeting, welcoming, directing and announcing them appropriately

  • Maintaining an advanced understanding of visitor management procedures, to include issuing and maintaining visitor badging supplies

  • Answering, screening, and forwarding incoming phone calls, as well as correspondence distribution

  • Receiving, screening, and sorting daily mail and deliveries

  • Ensuring reception area is organized, professional, tidy and presentable

  • Maintaining building security by following safety procedures and controlling access

  • Maintaining visitor and delivery logbooks and reports

  • Adhering to warrant execution and media inquiry protocols

  • Promoting and enforcing safety measures

  • Permit authorized persons to enter property and monitors entrances and exits

  • Conduct patrols as necessary

The Ideal Candidate:

Education, Licenses and Certifications Required

  • High school diploma or equivalent

  • Must possess a current and valid Bureau of Security and Investigative Services (BSIS) Security Officer License issued by the State of California

  • Must be able to pass any State-required training or other qualifications for licensing

Type and Length of Specific Experience Required

  • Must possess a minimum of three (3) years of experience in a reception position

Skills Required

  • Proficient computer skills including Microsoft Office and/or Google Applications

  • Effective oral and written communication skills

  • Active listening skills

  • Ability to assess and evaluate situations effectively

  • Ability to identify critical issues quickly and accurately

  • Attention to detail


  • Must be at least 18 years old or the minimum age required by the state, if higher

  • Must be a U.S. citizen or a foreign citizen authorized to legally work in the United States

  • Must possess a demonstrated ability to interact cordially and communicate with the public

  • Must possess a basic understanding of electronic access control, visitor management, vehicular / traffic management, security video, badging, emergency call / duress, and intrusion detection and alarm monitoring.

  • Must possess an advanced understanding of basic computing tools such as e-mail, Microsoft products (Word and Excel in particular), and/or Google Applications

  • Must not use illegal drugs. Must be able to pass a drug test with negative results (except when undergoing documented medical treatment).

  • Must submit to an extensive background check, including criminal history, personal references, employment and education verifications, and Department of Motor Vehicle and credit checks if applicable

  • Must be able to provide, upon job offer, a DD214 discharge document with discharge status indicated, if prior military

Physical Requirements and Environment

Environment: Office; no exposure to extreme temperatures is expected

Major activity: Working on PC while sitting; telephone use

Physical efforts to carry out job duties: Limited, to include some standing, bending, and limited

stretching and reaching

This position is responsible for creating a positive and friendly experience for visitors and employees while also ensuring security processes and procedures are followed. This includes being responsible for managing front desk operations as primary point of contact for those that enter, enforcing access control security procedures, making proper notifications, and performing other administrative related duties.
