The Advisory Operations group is responsible for the effective execution and support of Advisory Account set-up and maintenance tasks for Wells Fargo Advisor's (WFA's) Financial Advisors and branch staff.

The Advisory Securities Operations Service Specialist 4 (SOSS 4) will perform a variety of operational tasks for highly complex securities or cash related transactions or processes that require expert knowledge of Advisory functions and systems. Duties may include: differentiating, processing, and reconciling transactions; and performing a variety of balancing tasks; Able to handle critical production or escalation issues; Act as liaison to other internal departments, including technology groups and external sources; Provides department level reporting using multiple sources; May create and/or maintain databases; May define user requirements and contribute to production and workflow improvements; and create or revise departmental procedures; Provides training or work direction for new or existing staff; Provides back-up for numerous department functions; May lead and/or participate in department projects; May address compliance and corporate governance issues for the department; May have extensive customer contact; Works under minimal supervision with some degree of independence.

Specific responsibilities may include:

  • Gather data from various systems to generate, filter, and distribute reports

  • Analyze reports for trends, downstream impact, isolate root cause and recommend solutions or additional training

  • Process Advisory documents within service level agreements (SLAs)

  • Monitor processing queues to ensure SLAs are met

  • Responsible for accurate and timely reporting

  • Create and conduct training for the Advisory Operations group

  • Quality Control to identify common errors and issues

  • Update Operating Procedures

  • Maintain training documents

  • Conduct UAT testing; run test scripts and regression testing

  • Process trade corrections

  • Assists with business continuity planning (BCP) events

  • Research and resolve escalated issues

  • Assist with incoming client calls on service lines during high volume/peak times

  • Acts as a liaison to other internal departments including technology groups and external sources

Work Schedule: 8 hour shifts Monday through Friday, to support the hours between 7am

  • 6pm CT. Overtime is required during regression testing, during production releases and to complete training documentation requirements.

Required Qualifications

  • 4+ years of experience in one or a combination of the following: customer service, operations, financial services, accounting, business processing, analytical, financial, clerical, or call center demonstrated through work or military experience

  • Strong attention to detail and accuracy skills

  • Intermediate Microsoft Office skills

  • Ability to navigate multiple computer systems, applications, and utilize search tools to find information

  • Excellent verbal, written, and interpersonal communication skills

  • Solid problem solving skills

  • User Acceptance Testing (UAT) experience

  • Experience developing partnerships and collaborating with other business and functional areas

Other Desired Qualifications

  • Experience with Beta, Smartstation, MASTII, and Infomax or similar applications

  • Microsoft Excel spreadsheets experience importing, exporting, and analyzing data

Salary Information

The salary range displayed below is based on a Full-time 40 hour a week schedule.

The Securities Operations Service Specialist 5 (SOSS 5) role is a Team Lead and is an essential part of the team, with primary responsibility for escalations and work management. A Team Lead within this group has extensive contact with our field partners and helps to develop strong relationships with those team members. The Team Lead is available to all team members for guidance when needed. The ideal candidate for this position will demonstrate strong communication skills and possess the ability to adapt to change. The Cost Basis group has an opening for a SOSS 5 to act as the primary resource for critical production or escalation issues relating to cost basis items; Plans, coordinates, distributes, and monitors/completes daily reports and cost basis related production work including wash sale reconciliation and corporate action taxability processing; May or may not supervise daily production activities and/or staff; Provides management level reporting including service quality, volume tracking, and/or staff performance; Provides back-up for all department functions; Leads and/or participates in production improvement efforts including testing for all BETA IRS CBL work; and addresses procedural impacts; Provides training, coaching, and feedback to new and existing staff; Provides work direction for staff; Addresses scheduling issues; Leads small to medium sized projects or parts of larger projects; May address compliance and corporate governance issues for the department; May have extensive front office contact; Works under minimal supervision with some degree of independence. The Corporate Actions Mandatory group also has an opening for a Team Lead. This individual will perform a variety of operational tasks for highly complex securities or cash related transactions or processes that require expert knowledge of unit functions and systems. Duties may include: differentiating, processing, and reconciling transactions; and performing a variety of balancing tasks; Able to handle critical production or escalation issues; Act as liaison to other internal departments, including technology groups and external sources; Provides department level reporting using multiple sources; May create and/or maintain databases; May define user requirements and contribute to production and workflow improvements; and create or revise departmental procedures; Provides training or work direction for staff; Provides back-up for numerous department functions; May lead and/or participate in department projects; May address compliance and corporate governance issues for the department; May have extensive customer contact; Works under minimal supervision with some degree of independence. In addition, this SOSS 5 will be expected to execute and oversee the following: * Be the point of contact for critical production or escalation issues for all Mandatory corporate actions. * Oversee work and provide training to department employees. * Maintain written procedures for all departmental functions * Perform Service audits to ensure all associates are adhering to written Policies and Procedures * Provide coaching and feedback on service evaluations * Coordinate, distribute and monitor daily security and cash related production work * Review and provide supervisory sign-off on daily payments * Provide backup for multiple key department functions * Balance and reconcile cash and security allocations on large, complex corporate action events * Perform monthly audits and report to senior leadership on Corporate Actions Department Profit & Loss (P&L) General Ledger entries * Create and present monthly metric reports to management relating to service quality, volume, and staff performance * Manage annual PREM (removal of no value securities) project coordinating with different internal departments, as well as the field, to remove over hundreds of CUSIPS * Assorted projects and tasks Required Qualifications * 5+ years of experience in one or a combination of the following: customer service, operations, financial services, accounting, business processing, analytical, financial, clerical, or call center demonstrated through work or military experience * 1+ year of customer service experience * 2+ years of brokerage operations experience Desired Qualifications * Strong analytical skills with high attention to detail and accuracy * Intermediate Microsoft Office skills * Ability to navigate multiple computer systems, applications, and utilize search tools to find information * Excellent verbal, written, and interpersonal communication skills * Effective organizational, multi tasking, and prioritizing skills * Ability to work independently, proactively, innovatively, and creatively while exercising sound judgment * Solid problem solving skills * Experience coordinating multiple tasks within aggressive time frames * Ability to prioritize work, meet deadlines, achieve goals, and work under pressure in a dynamic and complex environment * Excellent communication skills and ability to articulate complex material to a diverse audience * Ability to identify key issues, involve affected parties, design solutions, obtain buy-in, and communicate effectively through resolution * Ability to strategically analyze data and diagnose opportunities and interventions * Ability to navigate multiple computer systems, applications, and utilize search tools to find information * Leadership experience with ability to effectively manage and engage teams * Ability to consult, build, and maintain solid working relationships in and outside of immediate department * Ability to execute in a fast paced, high demand, environment while balancing multiple priorities * Ability to identify inefficiencies, opportunities to streamline business processes, and implement change * 3+ years of brokerage operations experience * Brokerage operations control or risk experience * Experience resolving and working through escalated and complex issues * FINRA registration including Series 7 (or FINRA recognized equivalents) * Strong telephone etiquette skills * Leadership experience including; coaching, training, and mentoring * Ability to work effectively, as well as independently, in a team environment Other Desired Qualifications Cost Basis: Experience with BETA, Wisdom, Excellence First, and Agent Desktop. 2+ years leadership experience including the following: creating/updating/reviewing department policies and procedures, training team members, and resolving escalated issues within a team. Intermediate/Advanced experience using Microsoft Office products such as Excel, Word, and Access; including creating Excel spreadsheets, using filters, importing, exporting, sorting, and manipulating data. 3+ years Cost Basis processing experience. Corporate Actions Mandatory: 2+ years Corporate Actions experience. Ability to reprioritize tasks and duties throughout the day, as needed. Demonstrated interpersonal skills, including the ability to build and maintain relationships, work in a team environment, support and develop others as well as effectively collaborate with other staff, leaders, and partners.
