Job Summary:

Performs a variety of secretarial and clerically related patient/client support to the Medical Oncology Department.


  • Conducts medical necessity checks.

  • Communicates with physician practices and hospital staff as needed.

  • Initiates rescheduling of appointments with physician practices, patients and hospital departments as needed.

  • Assures all necessary documentation is recorded within patient management and workflow systems.

  • Achieves established performance targets.

  • Meets established quality expectations.

  • Supports other departmental team members to assure turnaround time expectations are met.

  • Attends and regularly participates in team and/or departmental meetings.

  • Communicates important information to team members.

  • Contributes to team efforts to improve workflow and efficiency.

  • Familiarity and experience with Revenue cycle software, tools, and technologies

  • Medical Terminology and working knowledge of Coding knowledge required

  • Time management and flexibility to meet work schedule demands

  • Availability to work variable hours with twenty-four (24) hours' notice on individual work days not to exceed scheduled weekly hours in order to meet fluctuating work flow.

  • Good judgment and problem solving skills (escalation process)

  • Ability to work independently and take initiative

  • Ability to work with a high degree of confidentiality

  • The ability to manage multiple tasks simultaneously and adjust to issues as needed in a dynamic work environment

  • Proven ability and/or expressed willingness to work as part of a team

  • High School Diploma and/or equivalent, Associate's degree preferred.

  • At least 1-3 years' experience in healthcare related office setting.

  • General office skills such as computer skills, typing, telephone etiquette, business communications and basic mathematics required.

  • Bilingual candidates preferred.

  • Basic computer skills required.

  • Must be willing to travel to both Fall River and Dartmouth Campuses as needed

  • Must be extremely dependable and flexible.

Depending upon location, may also be responsible for patient reception/registration. Refer to Receptionist Job Description if applicable. Performs in accordance with the facility's policies and procedures. Follows the facility's standards for ethical business conduct. Conducts self as a positive role model and team member. Participates in facility committees, meetings, in-services, and activities. Work Schedule: Thursday & Friday: 8:00a.m. to 5:00p.m. Responsibilities: * Courteously answers the phone, screens and triages calls appropriately. Receives messages, prescription refill requests and performs other telephone duties as required. * Demonstrates courteous, professional, and cooperative behavior towards patients, visitors, coworkers, and providers. * Performs duties as a team member, integrating activities with fellow employees and providers. * Schedules appointments accurately and efficiently within established scheduling protocols. * Coordinates mail processing for office to include: receipt of record releases, copying of records, mailing of records / correspondence, and responding to other general office requests via mail. * Manages physician schedules by following up on patient no-shows, sending out reminder cards, and/ or providing telephone reminders for office visit in accordance with established protocol. * Reports the use of supplies for reordering and maintains practice so that it is always neat and clean. * Performs other duties as assigned. Qualifications: * High school diploma or equivalent. At least 2 years of prior medical secretary or medical office experience. * Experience managing a multi-line phone system, experience with computer systems and the ability to type, strong understanding of medical terminology, understanding of different insurance plans and referral procedures preferred. Must be flexible, customer / patient focused, possess a positive attitude, strong learning aptitude and the ability to work well both independently and on a team in a fast paced environment. Bi-lingual communication skills are a plus. * While performing the duties of this job the employee is frequently required to walk; stand; reach with hands and arms; climb or balance; stoop, kneel, crouch, or crawl; and talk or hear.
