Acts as resource contact and liaison to full-time faculty, numerous limited term lecturers, staff, students and public
Provides personal secretarial support to school director; assists in planning department meetings, attends and takes minutes; prepares and distributes department minutes and documents; opens and sorts department mail; processes outgoing documents; orders office supplies; schedules appointments and maintains calendar for department head; sets up meetings
Miscellaneous duties include emailing, typing and printing department correspondence; Xeroxing course materials, maintaining department files; entering instructor names into system; assisting students with registration process; taking advising appointments; maintaining student files; notifying students of class cancellations and other course related issues; taking messages for instructors; maintaining office supply inventory and ordering supplies as needed; maintaining computer lab printer by ordering and refilling toner and paper; acting as key operator on office Xerox machine. Takes HTM restaurant lunch and dinner reservations.
Coordinates and processes textbook orders; orders desk copies and teaching materials for instructors; provides information on degree programs, faculty schedules and courses to students.
Coordinates fall, spring and summer course schedules; enters course & instructor information into system; compiles information and prepares various department reports; creates and processes purchase forms (credit card purchases, invoice vouchers, incidental purchase reimbursement requests); processes and keeps records of purchase card receipts and expenses for department; creates and processes LTL contracts, and other paperwork for department staff and new hires; assists search committee chairs with searches.
High School/GED required. Bachelor's degree preferred. Clerical/secretarial with supervisory experience preferred. Experience in Higher Education is preferred. Must have the ability to use good judgment, multitask, manage multiple priorities and meet deadlines in a fast paced environment, Must have excellent oral and written communication and organizational skills, Must have the ability to take initiative, anticipate needs, and work with minimal supervision, Must have the ability to maintain confidentiality and work effectively with diverse groups of individuals, Must have the ability to navigate databases and other computer programs, Must have skills in Microsoft Word creating correspondence, Must have skills in creating spreadsheets and use basic formulas, Must have skills using internet and email. Must be able to provide excellent customer service to internal and external clients and stakeholders. Ability to interpret and communicate University policies and procedures. Must be able to conduct oneself in a positive and professional manner, proofread and edit written materials, and supervise student workers and provide functional leadership to other staff as needed.
