The Opportunity
WSDOT is currently seeking a Secretary Senior to join our team and support the administration of multiple construction projects, including Design-Build, in our project office in Everett, WA. This role plays a key part in fostering a respectful and inclusive workplace with a strong commitment to diversity, equity, and inclusion. Reporting directly to the Project Engineer, the Secretary Senior will help advance WSDOT's mission to deliver safe, reliable, and cost-effective transportation solutions for Washington's communities and businesses.
What to Expect
Among the varied range of responsibilities held within this role, the Secretary Senior will:
- Report to the Project Engineer and Assistant Project Engineer, providing secretarial support to the team.
- Relieve supervisors and staff of day-to-day clerical tasks to improve office efficiency.
- Learn and navigate specialized software applications like TRAINS, LMS, and DOTtime essential to administrative functions.
- Use independent judgment to prioritize and organize tasks for the Project Engineer's office.
- Perform complex word processing, database, and spreadsheet tasks to create memos, letters, minutes, and reports.
- Produce correspondence based on verbal instructions from supervisors.
- Schedule State vehicles for service and repairs, coordinating drop-off and pickup with the Region Maintenance shop.
- Serve as timekeeper, auditing timesheets, verifying codes, and managing overtime, comp time, and leave usage.
- Establish and maintain electronic and manual filing systems for office records, personnel, contracts, and other documents.
- Coordinate personnel matters by assembling necessary forms for new hires and terminations, following State regulations.
Qualifications
To be considered for this opportunity, the following are required:
- High school diploma or GED
- Two (2) years of recent experience in secretarial work.
- Experience in Microsoft Suite (including but not limited to Outlook, Word, Excel, etc.)
- Excellent typing and computer skills.
- Ability to communicate effectively, both written and orally.
- Ability to legally operate a class 1 (sedan) and a class 5 (pick-up truck) WSDOT vehicle.
