The Department of Natural Resources (DNR) has an exciting opportunity within our Information Technology Division. The Secretary Senior position provides administrative and secretarial resources to the IT staff and our customers. This role is crucial in maintaining an efficient office workflow. Duties require this position to be in the office daily.Responsibilities:

  • Daily in-person coverage of IT reception desk and multi-line phone system.
  • Provide secretarial support and assistance to the division management and the IT staff.
  • Review, process & prepare invoices, purchase orders, and invoice vouchers for payment.
  • Provides appropriate level administrative back-up as needed for AA3 and AA4.
  • Order and maintain office supply inventory.
  • Receive, sort, and distribute mail and packages.
  • Division contact for trainings & travel coordination.
  • Manage division conference room calendars.

Required Qualifications: 

  • Two years of office or customer service experience with a general understanding of office practices. 
  • Experience operating phones, greeting customers, multi-tasking, completing short deadlines, and working independently in a fast-paced environment, with strong attention to detail.
  • Experience utilizing the higher functions of Microsoft Word, PowerPoint, Adobe Acrobat, and Excel.
  • Experience scanning, faxing, copying, and mailing documents.
  • Effective organizational skills and follow-through on assignments.
  • Able to take direction from multiple managers and prioritize work for oneself.

Special Requirements and Conditions of Employment:

  • This position's assigned duty station is the Natural Resources Building located in Olympia Washington. Office Setting: Reception desk within ITD. This position is eligible for telework options with prior approval from the direct supervisor. No travel requirements.

Desired Qualifications:

  • Experience with records management and retention.
  • Experience with processing incoming invoices and credit card statements with correct backup materials for processing payment.
  • Experience handling confidential information and monies/receipts accordingly.
  • Desire to work both as part of a highly motivated team and as a productive individual with minimal supervision.
  • Results orientation.
  • General understanding of natural resources management.
