Job Title: Secretary Senior

Location: Lynnwood, WA - This position is full-time, in-person, Monday - Friday. Work duties will be performed in an office environment; teleworking is not an option.

The Opportunity:   The Secretary Senior will greet visitors, answer questions, and provide information regarding DCYF programs to the public. This position performs detailed secretarial duties with minimum supervision. Duties such as independently planning, organizing, and prioritizing work to meet internal and external deadlines are some of the duties necessary to assist social service specialists, supervisors, and community partners in upholding the organization's mission. This position also provides secretarial services and assistance to relieve day-to-day secretarial duties from supervisors and/or staff member's work, coordinates office operations, and initiates action to ensure that office goals are met.

Some of what you will get to do:

  • Serve as the office point of contact for clients, co-workers, and community members.

  • Answer multi-line phone systems, assist customers, and resolve problems.

  • Respond to inquiries regarding DCYF policies, procedures, and services.

  • Perform complex secretarial duties, and maintain computer database files and record-keeping systems.

  • Request records such as birth certificates, process and distribute mail and court documents/reports.

  • Order supplies and equipment and monitor inventory control.

  • Arrange for facility and equipment maintenance and repair contracts and services.

  • Schedule meetings, reserve conference rooms, make travel arrangements for staff, and vehicle reservations.

  • Assist Social Service Specialists with various requests and process referrals/vouchers.

  • Monitor State vehicles; transport state vehicles for repairs and/or routine maintenance when needed, and schedule repairs.

  • Attend staff meetings and trainings.

What we are looking for:

High school diploma (or completed GED) and two years of increasingly responsible office experience requiring keyboarding or typing.

In addition to those required qualifications, our ideal applicant will also have some or all of the following:

  • Higher education in business, office administration, or any related fields.

  • Experience operating a computer and multiple software applications including Microsoft Office products.

  • Typing speed of 50WPM.

  • Experience maintaining electronic files and databases.

  • Ability to maintain confidentiality.
