The Washington State Department of Corrections is seeking a highly motivated and qualified individual for one full-time Secretary Senior position at Monroe Correctional Complex (MCC) within the Health Services Department.

This position of Secretary Senior provides vital administrative work to ensure the legal processes for mental health care and services are met in a timely manner.

It is to the applicant's advantage to apply as early as possible.Coordination of Involuntary Antipsychotic Medication Hearings on behalf of Health Services Manager, to include:

  • Scheduling staff for hearings per policy requirements, transcribe hearing documents, prepares packets, prepares appeals, preserves hearing recordings, and files copies of the documentation effectively.

  • Serves incarcerated individuals involuntary Antipsychotic Medication Hearing documents, pre/post hearings.

  • Maintain hearing logs as appropriate.

  • Review all upcoming Involuntary Medication hearing referrals and coordinate with providers to ensure 13-329 referral paperwork is submitted in a timely manner.

Clerical support to Administrative Assistant 3, to include:

  • Resolves problems tactfully and effectively, and responds professionally to inquiries regarding procedures and services.

  • Provides information related to supervisor(s) planning, organizing and operation of the mental health department.

  • Performs complex word processing tasks such as merging and sorting, integrating text with graphics, spreadsheets and database files, uses spreadsheet and database software to develop and maintain records.

Administrative support for the Mental Health Department, to include:

  • Updating the mental health staff schedule.

  • Coordinating and assigning available shifts for overtime with the Health Services Manager.

  • Send out available overtime calendar to CMHC 2s and 3s around the 15th of each month.

  • Assign overtime spots to staff at the end of the month.

  • Schedule staff for NEO/CORE suicide prevention instructing.

  • Schedule mental health staff block leave submissions.

  • Assisting with coordination of Suicide Prevention Instructor Training.

  • Transferring Mental Health Duty Officer bag and phone when the AA3 is unavailable.

Attend and complete required DOC annual trainings.Required Qualifications:

  • High School Diploma or equivalent GED.

  • Two (2) years of clerical experience.

  • Ability to type at least 40 words per minute.

  • Ability to maintain confidentiality in the performance of this role, communicate in a professional and respectful manner to staff, incarcerated individuals, and visitors.

  • Ability to work accurately and independently with minimal direct supervision.

  • Exceptional customer services skills, excellent work attendance

Preferred Qualifications:

  • Experience working in an institutional or correctional mental health setting.

  • Knowledge of or experience with large scale mental health services delivery, preferably in a correctional environment.

  • Knowledge of or experience with emergent mental health care, and/or mental health care legal documentation.

  • Requires respirator medical evaluation questionnaire, fit testing, training, and use of respiratory protection as required by the WA Industrial Safety & Act standards. Refer to WAC 296-842 to learn more.

  • Salary is based on experience and is determined at the time a final offer of employment is made. The salary range listed in the job posting includes Steps A-M. Step M is a longevity step and is typically gained six years after being assigned to Step L in your permanent salary range.
