Duties

This position is located in the Surgery Service. The incumbent provides administrative and clerical support in the administration of the service. The Secretary for Surgery Service reports directly to the Service Chief with additional oversight provided by the Operations Manager. The secretary is responsible for and works in a broad capacity for the Service at large, consisting of the Surgical Subspecialties, Anesthesiology, Optometry, and the Administrative Office. Duties include, but are not limited to:

  • Makes travel arrangements for staff.

  • Prepares personnel actions and maintains employee personnel folders.

  • Processes Performance Improvement reports, i.e., peer reviews, tort claims, incident reports, Reports of contact, OPPEs and FPPEs.

  • Completes electronic timecards for physicians and select staff.

  • Prepares or assists in preparing proposals to Resource Management Council (RMC) involving professional or nonprofessional staff.

  • Responsible for tracking Hospital Policy Memoranda (HPM) and Boards and Committees (B&C) for Surgery Service.

  • Prepares, updates, and circulates for appropriate signatures and ensures completed HPMs and B&Cs updated to the appropriate web site for the assigned sections.

  • Maintains suspense files for follow-up actions on items from facility leadership for Service Line.

  • Provides information and data for Joint Commission, SOARS and other site visits.

  • Assists with processing resident physicians and fellows.

  • Processes incoming and outgoing materials such as correspondence, reports, memoranda, and other forms of written communication.

  • Takes minutes at meetings, maintain committee binders, manage committee documents on SharePoint.

  • Composes/edits letters and reports, reviews correspondence for accuracy and completeness, prepares presentation outlines, and develops standard or form letters and replies to inquires.

  • Schedules appointments, coordinates meetings, and/or schedules conferences for Service Chief and Operations Manager.

Work Schedule: Monday - Friday, 730 a.m. to 4 p.m.

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 07/09/2024.

Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-6 position you must have served 52 weeks at the GS-5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.

You may qualify based on your experience and/or education as described below:

  • Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-5 in the normal line of progression for the occupation in the organization. Examples of specialized experience includes, but is not limited to, one full year of specialized experience equivalent to the next lower grade level in Federal service (GS-5) with responsibilities close to the work of this position that has given you the particular knowledge, skills and abilities required to independently perform the duties of a Secretary. Specialized experience is experience gained providing secretarial and/or administrative support performing duties such as: preparing in final format memoranda, letters, meeting notes, and other documents; maintaining logs and files; scheduling appointments, coordinating meetings, and preparing travel requests; maintaining calendars and schedules for staff; monitoring, maintaining, and reporting time and attendance for an office; and experience using automated software applications such as Microsoft Office Suite (Word, Excel, Power Point and Access).

Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.

Preferred experience: Experience which required the applicant to have ability to use basic office equipment, complete meeting minutes and agendas, answering and routing calls to queries from medical providers, nursing, staff, fellow employees, and patients . Experience in computer systems and office software systems to retrieve data and report building. Experience in a medical environment specifically in surgical field with basic medical terminology . Knowledge of on-boarding/recruitment requirements of physicians . Experience working with physicians, residents, nursing, and executive leadership teams. Experience including patient interactions inquiring questions and concerns. Experience working in a fast pace medical office as a key support staff member.

Physical Requirements: Incumbent will be bending, reaching and lifting, filing and periodically moving of office furniture when performing daily office functions. Reading from a computer screen for prolonged periods is required.
