Duties
As the Secretary (OA), you will:
Maintain Business Office calendar and arrange appointments and conferences
Act as coordinative administrative support concerning policy and procedural matters, day-to-day work-flow, and communication
Provide clerical/administrative support to one individual, and in some cases the subordinate staff of that individual
Ensure accurate, timely and consistent information is entered into the appropriate database
Determine nature of call or business of visitors, then refers to appropriate staff and/or arranges time for call-back
Respond to requests for information and/or develops one-of-a-kind reports covering organizational or technically oriented matters
Draft replies to general non-technical inquiries to include assembling requested information or follow up to see that personnel submit requested information
Develop methods for automating administrative reports considering the interrelationship of the reports and multiple uses of the data to provide monthly and/or quarterly reports on funds and obligations, training, travel, and staffing
Work Schedule: 7:30am-4pm, Monday through Friday

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 06/28/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.
Typing Proficiency: You must be able to type at least 40 words per minute.
In addition to the Typing Proficiency, you must possess Specialized Experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Qualifying specialized experience includes: 1) Provide timely advice, counsel, and recommendations on procedures, and report requirements consistent with the VISN, VHA and VA policies, directives, guidelines and instructions; 2) Prepare, develop and finalize various recurring reports, determining and modifying format, content, and frequency requirements; 3) Independently compose and prepare non-technical correspondence, organizing and planning the activities of an office; 4) Maintain suspense systems to ensure items assigned for action are completed and submitted on time; and 5) Review correspondence and documents prepared for signature by management to ensure compliance with regulations, rules of grammar, and format guidelines.

Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
Physical Requirements: This is primarily position, but the work requires some walking, bending, stooping, and carrying of light objects such as manuals, documents, etc. Concentration and sustained performance under prolonged stress is required because of the time factors involved in completion of work assignments with deadlines.

Receiving Service Credit or Earning Annual (Vacation) Leave: Federal Employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee. Selected applicants may qualify for credit toward annual leave accrual, based on prior work experience or military service experience. This credited service can be used in determining the rate at which they earn annual leave. Such credit must be requested and approved prior to the appointment date and is not guaranteed.
