Duties

The Secretary position is to provide a wide array of administrative and project support to the Chief of Medicine, Assistant Chief of Medicine, Administrative Officer (AO), Emergency Department Director and Supervisory Hospitalist. Duties will include, but not be limited to the following:

  • Controls incoming and outgoing correspondence, reports, memoranda and other forms

of written communication.

  • Prepares and edits letters and reports and reviews correspondence for accuracy and completeness.

  • Supervises and orients summer volunteers and/or students assigned to the office and prepares their evaluations and gives feedback on their performance.

  • Serves as a patient advocate for the service. This requires personally listening to

patients' or their families' concerns and assisting in the resolution and documentation.

  • Provides administrative support for Medical Service staff meetings and assists in

preparation of meeting Power Point presentations.

  • Prepares meeting agendas.

  • Attends meetings, takes accurate minutes and follows up on action items with

appropriate staff members independently.

  • Serves as timekeeper for multidisciplinary and administrative staff.

  • Maintains current file of provider privileges.

  • Collects and displays provider-specific statistics for workload measurement such as

daily admission log, inpatient roster log, patient complaints, meeting attendance, etc.

  • Receives telephone calls and visitors.

  • Picks up, sorts and distributes mail.

  • Maintains suspense of incoming or outgoing correspondence or material; advises staff member of approaching deadlines and initiates follow-up on overdue matters.

  • Establishes and maintains office files of correspondence, publications and other materials, following established filing procedures.

  • Arranges travel; completes and routes necessary forms required for authorization and funding of travel.

  • Maintains employee service records and files.

  • Types a wide variety of material for the service, including technical reports, MS

PowerPoint presentations, MS Excel spreadsheets, medical lectures, proficiency reports

and policies.

  • Assists providers with presentations (audiovisual aids, scheduling rooms, reminding

participants, etc.

  • Orders office supplies for the staff.

Work Schedule: Full-Time Monday-Friday 8:00am-4:30pm

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 06/27/2024.

Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS 6 position you must have served 52 weeks at the GS 5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.

You may qualify based on your experience as described below:

GS 6 Specialized Experience: Have at least one year of specialized experience equivalent to at least the next lower grade (GS-5) in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include but are not limited to: Controls incoming and outgoing correspondence, reports, memoranda and other forms of written communication; routes materials to the appropriate staff members and performs follow-up tracking to ensure timely reply/action. Prepares and edits letters and reports and reviews correspondence for accuracy and completeness. Serves as timekeeper for multidisciplinary and administrative staff. Organizes and manages the hospitalist, medical on-call and intensivist schedule. Receives telephone calls and visitors, ascertains nature of call or visit, refers to supervisor or staff member as appropriate. Picks up, sorts and distributes mail. Maintains employee service records and files and inputs personnel actions, using electronic Human Resources system. Accurately and promptly transmits and receives documents and messages electronically using such software applications such as electronic mail, desktop publishing, calendar, spreadsheets, database, Power Point, and word processing. Orders office supplies for the staff.

Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: The work is primarily sedentary with considerable computer and keyboard work. The work includes some walking, standing, bending, and carrying of light items such as files, papers and books.

Work Environment: The work environment involves the normal risks and stresses typical in an office environment which supports an extremely busy clinical service with various professional staff.

Receiving Service Credit or Earning Annual (Vacation) Leave: Federal Employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee. This credited service can be used in determining the rate at which they earn annual leave. Such credit must be requested and approved prior to the appointment date and is not guaranteed.
