The Secretary position is in the Department of State Secure Logistics Division (SL). SL is responsible for the secure handling and transportation of purchase orders, supplies, and mission critical program equipment including official vehicles for all Department of State (DOS) Bureaus and other government agencies as needed. Such duties related to this particular requirement will include advising DoS offices of specific supply chain management procedures, office management, and administrative support. Logistics operations may include operations related to managing Department of State (DOS) supply receipts and shipments. Incumbent must be fully trained in the use and functionality of the Departments Integrated Logistics Management System (ILMS) computer system to successfully complete his/her job requirements, as well as versed in Federal Transportation Regulations and policy, and Department of State internal transportation policies.

Duties for this position include or are comparable to the following:

  • Screen telephone calls, visitors, and incoming correspondence;

  • Personally responds to requests for information concerning office procedures;

  • Determines which requests should be handled by the supervisor, appropriate staff member or other offices.

  • May prepare and sign routine, nontechnical correspondence on behalf of the supervisors with notation;

  • Schedules tentative office staff appointments.

  • Makes arrangements for conferences and meetings and assembles relevant background materials, as directed.

  • May attend meetings and record and report on the proceedings;

  • Reviews outgoing materials and correspondence for internal consistency and conformance with supervisor's procedures;

  • assure that proper clearances have been obtained for approval assignments;

  • Collect information from the files or staff for routine inquiries on office program(s) or periodic reports.

  • Refer non-routine requests to supervisor or staff;

  • Explain to subordinate staff supervisor's requirements concerning office procedures.

  • Coordinate personnel and administrative forms for the office and forwards for processing.

Qualifications

The incumbent must have:

  • High School diploma or equivalent required;

  • Minimum of 2 years of administrative/receptionist experience

  • Excellent customer service and multi-tasking skills;

  • Familiarity with use of spreadsheet and statistical graph/chart applications to fulfill report requirements, presentations, and word processing.

  • Intermediate to advanced level expertise with Microsoft Office applications

  • Secret Security Clearance
