JOB SUMMARY:

IMMEDIATE OPENING: The position of Level III Secretary is to provide confidential support to the principal, teachers, and support staff, and ensures the smooth flow of information and services to staff and the public.

Preferred bilingual (English/Spanish)

ESSENTIAL FUNCTIONS, DUTIES, AND RESPONSIBILITIES:

Depending upon individual assignment, the secretary performs all or a combination of several of the following duties. This list of essential functions is not exhaustive and may be supplemented as necessary.

  • Oversees, audits, and manages all phases of the elementary school budget.

  • Work with the Principal to maintain schedules, develop plans, assignments, and schedule work for overall school operations.

  • Greet visitors, students, parents, and staff courteously, determines their needs, checks appointments, and directs person and/or information.

  • Maintain student record system.

  • Ensure compliance with legal and administrative requirements.

  • Answer office telephone and respond appropriately to requests for information.

  • Understand the function of and be able to work with a computer network.

  • Receives, sorts, and delivers inter district an U. S. incoming and outgoing mail.

  • Prepare purchase, printing, and maintenance requests.

  • Files correspondence and other records in prescribed manner.

  • Locates and removes requested records information.

  • Maintain an efficient technical record keeping system for all areas of school.

  • Keyboards a variety of material, such as correspondence, student records, reports, memos, notices, newsletters, and parent communications.

  • Obtains, gathers, and organizes pertinent data as needed, and puts it into usable form.

  • Maintains a regular filing system, as well as a set of locked confidential student files, and processes incoming correspondence as instructed.

  • Orders and maintains supplies as needed.

  • Maintains updated knowledge of school policies and procedures that affect this position

  • Oversee office staff to ensure a positive, effective, and productive team.

  • Maintains a high degree of confidentiality.

  • Performs other related duties as assigned.

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:

  • Ability to plan, organize, implement, and maintain the operations of an elementary school office.

  • Ability to work well with students, families, staff, and community members in a warm and confident manner.

  • Ability to use effective oral and written communication skills.

  • Ability to listen and react professionally.

  • Ability to follow and give directions and utilize general office procedures.

  • Ability to use computers and various software packages with proficiency.

  • Ability to maintain, in a timely manner, all methods of communication including email, websites and social media.

  • Ability to organize daily, weekly, and monthly calendars.

  • Ability to organize multiple tasks at the same time, meeting all deadlines.

  • Ability to remain flexible to changes in assignments, projects, and deadlines.

  • Ability to work independently and effectively as part of a team.

  • Ability to set priorities.

  • Ability to maintain accurate records.

  • Ability to establish and maintain effective working relationships with students, staff, parents, and community.

  • Ability to accept responsibility and make decisions.

  • Ability to dispense medications, on doctor's orders, and do basic first aid.

WORKING CONDITIONS:

Office in an elementary school environment. Requires frequent standing, walking, and sitting. Must be able to speak, hear and see. Required to operate a multi-positioned telephone, computer with video display terminal and keyboard, copy machine. Be able to work efficiently while experiencing frequent interruptions and schedule changes. Required to deal with a wide range of situations, behaviors and information. Requires dexterity in the operation of computer equipment and manage a variety of record filing systems. Requires working with students, staff, parents and individuals from outside agencies.

MINIMUM QUALIFICATIONS:

High school graduation or equivalent.

Ability to pass a federal background check.

Previous secretarial experience.

Experience working in schools preferred.

Computer experience.

Experience planning and executing events.

Demonstrated communication skills written with proper format, punctuation, spelling, and grammar, using all parts of speech; speaking with poise, voice control, and confidence, using correct English and well-modulated voice.

Demonstrates high energy and professionalism

Demonstrates proficiency in basic math including performing operations involving monetary units.

Apply common sense understanding to carry out instructions furnished in written, oral, or diagrammatic form.

Deal with problems involving several concrete variables in or from standardized situations.

Read a variety of materials with understanding.

REPORTS TO: Principal or designee.

TERMS OF EMPLOYMENT:

8 hours per day and 207 days per year. Salary and benefits according to adopted salary schedule and negotiated agreement.

EVALUATION:

Performance of this job will be evaluated annually in accordance with provisions of Washington State Law and the bargained agreement.
