Overview

The Student Services Secretary is responsible for providing secretarial and administrative support to the Student Services Department. The Student Services Secretary is able to organize and coordinate office functions and handle multiple projects concurrently while maintaining the highest degree of accuracy. The Student Services Secretary serves as a resource to students, faculty, and visitors to the College and provides exceptional customer service at all times. The Student Services Secretary maintains confidentiality in accordance with FERPA.

Responsibilities

Administrative/Clerical

  • Maintains all files and correspondence related to all aspects of Student Services to include but not limited to records and reports, recruitment, admissions, graduation, orientation, alumni, and uniforms.

  • Coordinates and schedules appointments for Student Services Staff and Director.

  • Assists with preparing minutes and agendas as required in a timely manner.

  • Coordinates ordering and receipt of copy center materials and promotional items.

  • Assists in the planning and implementing of campus events, including orientations, open houses, alumni activities, commencement, and awards convocation.

Data Integrity: Collection and Maintenance

  • Responsible for collecting, documenting, and maintaining all student health/immunization records.

  • Maintains student information systems related to admissions/inquiry module/applicant and health modules.

  • Provides data needed for outcomes assessment, annual reports, etc.

Key Accountability: Customer Service

  • Greets all guests on campus and answers the telephone in a pleasant, efficient manner with proper etiquette and relays messages to correct area and/or person accurately and in a timely manner.

  • Ensures the waiting area is inviting and guests are comfortable.

  • Provides excellent service to Trinity College students, faculty, and staff.

Preferred or Specialized

Education:

Associate's degree is required; an equivalent combination of training and experience may be considered.

Experience:

Secretarial experience

Responsibilities Clinical Excellence/Patient Care * Performs clerical duties * Maintain the patient's medical records and unit forms. * Accurately records patient admissions and maintains computer logs without error. * Assembles and prepares charts for inter-departmental and medical records filing. * Performs assigned clerical duties. * Takes phone and verbal messages and acts on them accurately and appropriately or routes them to the appropriate persons. * Maintains and regards patient information on department communication board and facilitates ancillary involvement in patient care. * Interprets and orders physicians orders correctly. * Contributes to the general appearance and maintenance of the unit. * Answers telephone promptly and courteously. * Assists patients/visitors. * Keeps desks area neat and orderly. * Progression towards goals from previous evaluation/orientation. Qualifications Education: High school diploma or equivalent Experience: Training or equivalent experience in general clerical functions. Previous medical/clerical experience is preferred. Computer experience necessary. License(s)/Certification(s): CPR Certification. Knowledge/Skills/Abilities: Knowledge of medical terminology required; strong interpersonal skills necessary.
