Position Summary:
West Hartford Public Schools seeks to fill a position for a full-time secretary in the Human Resources Office. This is a 12-month position with full benefits.
Qualifications:
Prior secretarial experience required.
Ability to handle multiple tasks in a fast-paced environment.
Strong interpersonal and problem solving skills; ability to work with confidential information and attention to detail.
Excellent organizational, verbal, and written communication skills.
Proficient computer skills including Google Docs, Google Calendar, Microsoft Office 365.
Knowledge of Frontline, AESOP, Munis, and TalentEd preferred.
Duties: Duties for this position include, but are not limited, to the following:
Provide secretarial support to the Executive Director of Human Resources.
Track resignations and retirements.
Initiate hiring process (prepare job postings and post to internal and external websites, track internal applicants, arrange interviews, management of pre-employment forms in Frontline, follow up on outstanding items, etc.).
Order, receive, and maintain office supplies.
Prepare and process memos, letters, documents, reports, etc.
Complete larger annual projects such as the Staff Directory, Teacher Career Fair, New Staff Orientation, and yearly file digitization.
Assist with processing of tuition reimbursement payments.
Track and reconcile monthly purchasing through Munis.
Process staff attendance through Frontline and Munis.
Set up users in Vector for mandatory trainings and assist staff with technical issues.
Provide additional secretarial support as needed to the Human Resources Office.
