MONMOUTH-OCEAN EDUCATIONAL SERVICES COMMISSION is seeking a qualified candidate for a full time secretary in the Special Services Department.

QUALIFICATIONS/EXPERIENCE:

  • High School diploma or equivalent

  • Secretarial, clerical, and computer experience in a school setting is required

  • Previous experience with special education law, procedures and policies, and Special Education Information Systems preferred.

  • Ability to add, subtract, multiply, and divide into all units of measure, using whole numbers, common fractions, and decimals.

  • Ability to compute rate, ratio, and percent, draw and interpret graphs.

  • Ability to read and comprehend simple instructions, short correspondence, and memos.

  • Ability to communicate clearly and concisely, both orally and in writing.

  • Ability to effectively present information in one-on-one and small group situations to staff, parents, students, administrators, and the public.

  • Ability to independently problem-solve unique student and employer situations.

  • Ability to understand and carry out detailed written and oral instructions.

  • Knowledge of office procedures and practices, including filing systems, receptionist and telephone techniques, letter and report writing, and sound bookkeeping procedures; English usage, spelling, grammar, and punctuation; ability to operate common office machines.

  • Ability to interpret and apply pertinent school district procedures, policies, laws, rules, and regulations, and apply them with good judgment in a variety of situations.

  • Proficient in the use of word processing, spreadsheets, and database management software. Knowledge of confidentiality laws.

  • Meets the public tactfully and courteously and answers questions correctly; compiles and maintains accurate records and files.

  • Highly organized, with the ability to understand and carry out oral and written directions, and establish and maintain cooperative relationships with those contacted in the course of work.

  • Ability to use a computer and job-related software.

REPORTS TO: Director of Special Services

ESSENTIAL DUTIES AND PERFORMANCE RESPONSIBILITIES:

  • Provide administrative support to the Special Services Director including, but not limited to preparation of presentations, confidential files, tracking, calendar management, email correspondence, and answering all incoming calls.

  • Assist with professional development/collaboration presentations, and special projects and provide clerical support for professional development including registration, event planning, and technology set-up.

  • Process mileage and incidental expense claims, purchase orders, low incidence requests, etc., for all special education staff.

  • Assist with approving teacher/paraprofessional absences in the Frontline platform

  • Maintains the locked confidential student files for MOESC.

  • Assist with running reports in the student management system.

  • Maintain a calendar of all department activities.

  • Maintain inventory and ordered all department supplies and equipment.

  • Process submitted Speech ISPs and review for accuracy and completion of full case

  • Process submitted CST ISPs and review for accuracy and completion of full case

  • Report weekly on the completeness and timeliness, etc. of ISPs

  • Maintain accurate and complete site-specific caseload files

  • Assist with the organization of the Extended School Year program.

  • Must be able to meet and interact with employees and parents/guardians in routine situations, which require tact, discretion, and courtesy.

  • Process student 407-1 applications for services.

  • Effectively communicate with our Non-Public Schools and Speech Therapists regarding student services and class lists.

  • Process student record releases.

  • Other related duties as assigned.

TERMS OF EMPLOYMENT: Full Time - Twelve months

EVALUATION: Performance of this job will be evaluated in accordance with the provisions of the MOESC's Board's policy on evaluation of support personnel.
