Title Secretary, Administrative Department Maricopa County Office (1537) Location Greater Phoenix Area Position Summary

This position is located in Phoenix, AZ.

This position provides clerical and secretarial support for the 4-H Youth Development faculty and program staff from 8:00 am noon. The incumbent manages the front desk from 1:00 5:00 and may perform secretarial duties in addition to the receptionist duties at the front desk.

Duties & Responsibilities

  • Assist in coordination and implementation of 4-H events, leader trainings, and workshops.

  • Prepare registration forms, assemble curriculum manuals, oversee participant registration, and reconcile expenses.

  • Design and create flyers, invitations, posters, and name badges.

  • Compose, format, type and proofread correspondence and documents such as the 4-H newsletter, proposals, publications, instructional materials, forms, etc.

  • Maintain and enter data on 4-H database.

  • Enter data in online reporting system.

  • Compile and calculate reports regarding trainings and summarize evaluations.

  • Prepare large mailings.

  • Serve as the contact person for 4-H volunteers and youth members.

  • Interact and assist 4-H volunteers and youth regarding projects, record books, enrollments, deadlines, etc.

  • Adapt and meet deadlines on time sensitive projects.

  • Apply and keep current on Microsoft Office and publishing/graphics software to perform duties.

  • Utilize social media technology.

  • Manage 4-H website.

  • Willing to learn and/or attend trainings on software programs as needed.

  • Purchase supplies using the University's Buyways System.

  • Manage the front desk daily and close the office at the end of business day.

  • Answer the phones and greet volunteers and clients.

  • Reserve meeting rooms.

  • Perform other duties as assigned.

Knowledge, Skills, & Abilities

  • Ability to interact well with 4-H volunteers and members, staff and faculty.

  • Excellent front desk and phone etiquette skills.

Minimum Qualifications Arizona Board of Regents Minimum Qualifications

Three years of secretarial/clerical experience; OR, Certificate in Secretarial Science AND two years of secretarial/clerical experience; OR, any equivalent combination of experience, training and/or education.

Preferred Qualifications

  • Candidate seeking long term employment.

POSITION SUMMARY: This position is responsible for secretarial work associated with the Foster Care Review Board (FCRB) Program. The primary role of FCRB is to advise the juvenile court on progress toward achieving a permanent home for a child involved in a dependency action and in an out-of-home placement. This is a full-time, benefits-eligible position in our Tucson, Arizona office. The essential functions of this position include the mailing of interested party notifications for FCRB; preparation and mailing of confidential case information to FCRB members; answer, screen and route telephone inquiries; process and distribute FCRB Findings and Recommendation Reports through the database system in the time frame required by statute; sort and locate case information; as well as provide coverage of the reception area which includes extensive public contact both telephonically and in person. Other responsibilities in this position include: process and route incoming mail; preparation of meeting agendas and support meetings and/or training sessions; and assist program specialists to ensure successful facilitation of FCRB reviews. MINIMUM REQUIREMENTS: The successful candidate must have a high school diploma or GED and at least one year experience working in an office environment in an administrative role. Additional requirements include: knowledge and skill in the operation of computers and Microsoft software; excellent verbal and written communication skills, including attention to detail and knowledge of English, grammar, and punctuation skills; effective organizational, time management, and teamwork skills; as well as the ability to work with confidential materials.
