Position Summary:

  • The Division of Information Technology and Resources (IRT) is seeking an individual with strong communication skills and effective management skills and has the ability to be part of a collaborative team effort. This individual must be well organized and possess the ability to work in a high pace work environment.

  • Reporting to the Senior Director for Infrastructure Services, the ideal candidate will be an analytical thinker who is process-oriented with advanced Excel skills and a thirst for knowledge. A well-organized self-directed individual who has the ability to prioritize and multi-task with minimal supervision in a fast-paced environment.

Responsibilities:

  • Track budget expenditures, enter requisitions and purchase orders, travel expenses, Rowan Purchasing Card transactions, budget transfers, DCA's, MDV's, assist in budget request and budgetary planning in preparation of the annual budget request submission and other job related budget/finance duties as required. Page-Up new employee hiring, EPAF student worker budget/hiring.

  • Maintain Outlook calendars for resources and executive officers.

  • Provide high-level administrative support to IRT division.

  • Supervise student employees.

  • Order supplies for the IRT Division.

  • Answer the general administration phone line and in-person inquires for the admin suite.

  • Coordinate and approve 25Live requests.

  • Submit and coordinate facility work orders.

  • Develop and maintain accurate documentation for the IRT Division.

  • Provide advice, problem-solving assistance, and answer questions regarding IRT standards and procedures.

Required Experience:

  • Three (3) years of experience in secretarial and administrative clerical work.
  • NOTE: Successful completion of a clerical training program with a minimum of 700 classroom training hours or 30 semester hour credits in secretarial science from an accredited college or university may be substituted for one (1) year of the experience indicated above. Course work must include typing skills, methods, and procedures; other courses may include, but not be limited to, office procedures, word processing, and business English.

Additional Requirements:

  • Some evening, weekend, and holiday work maybe required for this position.

Preferred Qualifications:

  • Previous functional and technical finance-related experience in higher education

  • Aptitude to plan, organize and work on multiple tasks simultaneously

  • Experience with developing and maintaining effective management tools

  • Understanding of Finance principles and practices

  • Proficiency in creating and maintaining detailed records

  • Ability to maintain confidential records

  • Professional demeanor and maturity

  • Excellent oral and written communication skills

  • Ability to work independently to solve problems with minimal supervision

  • Expertise in Banner Finance in processing all budget related functions

  • Expertise in MS Office Suite

  • Expertise in Google Docs

  • Advanced Excel skills

  • Strong background and knowledge of accounting and finance procedures and standards

  • Experience with 25 Live, PageUp, and EPAF

Eligibility and Consideration:

  • Open to current employees in the competitive division who have an aggregate of one year of continuous permanent service as of the closing date in any competitive title and meet the required experience listed below.

  • For promotions, this would be a provisional opportunity pending exam.

  • Only completed internal applications submitted on or before the deadline from eligible candidates will be considered.
