Job Description

We are in search of an Activity Coordinator to provide assistance in the preparation, execution and management of our seasonal youth sports leagues and camps as well as aspects of aquatics. The Activity Coordinator will provide administrative and on-site support for assigned programs, and act as a key representative of the department while performing their assigned tasks. This individual will have supervisory responsibility over officiating staff, recreation program instructors, coach volunteers, and participants.

Examples of Duties

ESSENTIAL JOB FUNCTIONS

  • Responsible for planning, organizing, scheduling, coordinating, and implementing recreational activities and classes related to youth sport camps and league in various seasons

  • Assist with the organization of team/ class rosters and schedules along with evaluating the field/ site conditions, coordinating with Recreation Programmer to make decisions on usage

  • Conduct seasonal staff training, staff meetings, and volunteer orientations

  • Responsible for the recruiting, training, supervising, and evaluating of seasonal and paid league as well as volunteer coaches

  • Provide ongoing support, training, and expertise to volunteer coaches, as needed.

  • Compile payroll information and inputs into current payroll system with set parameters

  • Maintain inventory of, order, and distribute recreation supplies and sports equipment needed for programs

  • Act as the primary APRD program representative / liaison during league play, providing a high level of personal visibility and customer service

  • Provide a high level of professional customer service with coaches, parents, and program participants; respond to inquiries in a timely and helpful manner (telephone, written correspondence, etc.)

  • Respond to accidents and/or emergencies in a calm and controlled manner

  • Continuously communicate with the Recreation Programmer regarding the operation and management of APRD adult and youth sports leagues and camps

  • Review and uphold the game or pool rules and program policies with staff, coaches, and participants

  • Perform set-up and take-down of program related equipment as needed

  • Evaluate risk management concerns related to programming to ensure safe, clean, and attractive facilities for participants

  • Work with community partners to increase/maximize programming opportunities

  • Prepare and monitors budgets as well as complete end of program reports related to all assigned programs Reports are to be current and accurate to maximize cost recovery

  • Display innovative and creative ideas and methods for the service delivery of recreation programs

  • Assist with the facilitation of promotion/marketing of programs to increase public awareness and participation

  • Assists with distribution of post season awards as well as staff and volunteer recognition

  • Work with all Parks, Recreation, and Facilities Management Department management/supervisory staff in a team environment

OTHER JOB FUNCTIONS

  • Monitor and posts standings

  • Assist with completion of all necessary paperwork.

  • Attend all required staff meetings and trainings.

  • Communicate clearly, effectively, and regularly to ensure alignment with program vision and core values.

  • Work closely with the Parks & Recreation Dept. staff and volunteers to ensure all department rules and policies are observed.

  • Maintain regular punctual and predictable attendance, works overtime and extra hours as required.

Typical Qualifications

TYPICAL QUALIFICATIONS:

Education: Two years of college or university level work (coursework in Recreation, Education, or a related field preferred)

Experience: The qualified individual should possess some sports administration experience (roster building, scheduling, customer service, etc), have a strong working knowledge of a variety of sports or recreation programs, be passionate about creating a positive environment for learning, and possess the confidence to instruct or officiate if needed. Experience working directly with both children and adults is desired. Strong interpersonal communication skills and demonstrated decision making capability is strongly desired.

  • Ability to work the for the duration of the designated program season (May- August)

  • Current certification in CPR and First Aid (training provided if needed).

  • Hold valid driver's license and have a safe driving record

  • Ability to provide strong leadership and establish effective working relationships with fellow employees, participants, and the public

  • Ability to effectively carry out oral and written instructions; meet deadlines

  • Adhere to and implement the City of Appleton and Departmental policies and procedures

  • Methods and problem solving in recruitment, training, placement, supervision, evaluation, and retention of part-time, seasonal staff

  • Maintaining a high level of personal leadership, organizational skills, and the ability to multi-task

  • Establishing and maintaining effective working relationships with co-workers, associates, and the public, and handling difficult situations in a tactful manner

  • Communicate effectively, verbally and in writing

  • Preparing clear, sound, accurate, and informative reports

  • Coordinating the establishment and maintenance of appropriate records and files

  • Computer applications and use of general office equipment
