SUMMARY OF RESPONSIBILITIES

This position is responsible for certifying all Veteran Affairs Educational benefits for students who qualify to receive such benefits. In addition, this position will support to the Director of the Schreiner Institute with tasks related to the overall success of the Schreiner Institute as outlined in the job functions. Responsibilities require a great deal of interaction with students, faculty, university staff, as well as occasional interaction with members of the Board of Trustees, alumni, donors, and the community. Under direct supervision, performs clerical and administrative support activities, including typing, filing, operating office equipment, preparing and entering documents into electronic and manual records, using computer hardware and software, producing reports, compiling data, organizing resource materials, submitting work orders, database entry, budget tracking, providing general and specific information, directions, referrals, developing schedules and setting up appointments, mailings, and coordinating clerical and administrative activities and processes. This person also will assist in scheduling events, collaborating with Event Services.

ESSENTIAL FUNCTIONS

  • Meet with all prospective veteran students when they come to campus and answer questions from prospective students through virtual meetings.

  • Evaluate all veteran joint service transcripts with SU's registrar office to maximize any transferable credit.

  • Serve as the primary point of contact for veterans from recruitment through graduation.

  • Serve as the primary School Certifying Official (SCO)

  • Monitor veteran student progress from matriculation through graduation and adjust the Center's programmatic offerings in general and for individual students as evidence becomes available regarding what works and what does not work.

  • Proactively review veteran progress by checking attendance in classes, outreach to each veteran, monitoring mid-term, and final grades. The coordinator will review this data weekly with the core support team (composed of full-time professionals at Schreiner Institute) and monthly with a comprehensive group of professionals from across campus and the community.

  • Organize cross-institutional and inter-community individuals and agencies to provide general and specific resources to veterans to promote their educational success.

  • Facilitate overall growth of the veteran population at SU and help these students achieve the appropriate credentials by providing unique customer service experiences.

  • Host regular activities for veterans, including cookouts, career development events, and other social engagement opportunities that is open to veteran students, faculty, and staff which will naturally build a support network for veterans on the SU campus.

  • Establish and publish regular hours in the office each week for group and individual sessions with professional staff. As necessary, coordinator will bring in resources from elsewhere across campus: financial aid, discipline specific tutors, disability support services, learning support services, and health and wellness support.

  • Conduct at least one career-ready audit with each veteran student to help ensure they are on track for post-graduation employment.

  • Responsible for the provision of customer service via phone, email, and walk-ins to active duty, veterans, guard/reservists, and veteran affiliated members.

  • Supervision and coordination of the department's student workforce.

  • Uses discretion and independent judgement to supervise student workers and triage escalations from student veterans regarding certification for military affiliated students.

  • Receives, sorts, and distributes incoming communications.

  • Prepares routine correspondence, form letters, reports, requisitions, lists, and tables using standardized forms.

  • Acts as a receptionist; answers the telephone and screens visitors.

  • Oversees and performs data entry and retrieval, verifying accuracy and completeness of data.

  • Posts information to student records.

  • Acquires and maintains access to Enrollment Manager.

  • Maintain diplomatic, confidential, helpful, friendly, and professional relationships with constituents, administration, faculty, staff, and students.

  • Create and run basic queries and reports in the Jenzabar databases.

  • Schedule appointments and reminder calls for appointments.

  • Assist in the planning and coordination of special events, including the scheduling of rooms and equipment.

  • Enter Purchase Order Requisitions in Jenzabar.

OTHER FUNCTIONS

  • Other duties as assigned.

  • Contribute to team effort by accomplishing related results as needed.

  • Acts to facilitate good communications between employees, clients, and management through interpersonal and professional communication techniques.

ADDITIONAL QUALIFICATIONS

  • Must have a current valid Texas driver's license, related insurance, and good driving record.

EDUCATION, EXPERIENCE AND SKILLS REQUIRED

  • 1+ years of pertinent work experience.

  • Some college preferred.

  • Strong proficiency in MS Office Suite, specifically, Word, Excel and Publisher; and experience in high volume calendar and message management using Microsoft Outlook.

  • Strong proofreading and editing skills.

  • Ability to communicate effectively, both orally and in writing.

  • Knowledge and proficiency in use of general office equipment.

  • Ability to work independently with minimal supervision.

  • Strong interpersonal and customer service skills.

  • Proven ability to handle confidential information with discretion and exercise good judgment.

  • Ability to perform multiple tasks in an organized manner with proper follow-through including ability to prioritize projects and meet deadlines.

  • Ability to use sound judgment, maturity and responsibility when dealing with a variety of persons in a public relations capacity and sensitivity to student needs.
