Job Description

Job Title: K-8 Registrar

Classification: Full-time, Hourly, 224 days

Reports To: Principal

Hourly Rate: $12.66-$13.70 (Based on experience & education)

Registrar Job Goal

The registrar supports AJUSD's mission by providing support and technical expertise to register new students and maintain student cumulative records including FERPA and HIPAA protected information that the school district is required to maintain.

Essential Duties and Functions

  • Work with the school front office and district staff to provide world-class customer service and ensure seamless operations to all customers and team members

  • Create and maintain courteous relationships with all staff, vendors, and customers

  • Exercise positive problem solving behavior and conflict resolution skills

  • Perform all registration procedures including: receiving, reviewing, and preparing incoming transcripts

  • Figures grade point averages or enters appropriate information into computer programs for grades

  • Maintains student files, cumulative records, and transcripts

  • Updates enrollment lists and counts

  • Handles various tasks in the Registration Office including registration, withdrawals, attendance, concurrent enrollment, curriculum offerings, etc.

  • Notifies teachers of student withdrawals

  • Sends copies of transcripts and withdrawal/transfer information to other schools or appropriate requesting institution

  • Composes correspondence to various agencies regarding student records or handles dissemination of information over the phone to other schools, parents, staff, employment offices, etc.

  • Distributes, collects, and files new student screening forms

  • Assists front office staff in various duties

  • Prepares county and state reports

  • Maintain confidentiality of student information

  • Attends all district training and implements processes as directed

  • Demonstrates leadership by willingly understanding that other duties, responsibilities, and activities may change or be assigned at any time with or without notice

  • Performs other duties as assigned

Minimum Qualifications

  • High School diploma or equivalent

  • Proficient user of software such as Microsoft Word and Excel and Google suite of apps

  • Ability to type accurately at an acceptable rate of speed

  • Ability to analyze difficult situations

  • Ability to communicate and work effectively with students, staff, and the public

  • Knowledge of and adherence to all AJUSD policies, regulations and rules related to: student records management

  • Vision and hearing adequate to exercise job responsibilities in a safe manner

Preferred Qualifications

  • Previous experience in this type of role in a school district

  • ?Exemplary work experience performing similar duties and responsibilities

  • Knowledge of Synergy software tools

Physical Requirements Clerical Support

Positions in this department typically require: stooping, kneeling, crouching, standing, walking, sitting for extended periods of time, finger or manual dexterity, repetitive finger motion, speaking, hearing, seeing (with correction), focusing ability, or other factors applicable to this job. Employees may be subject to travel. Employees may be required to lift or exert up to 25 pounds of force to move objects occasionally, and up to 50 pounds of force to move objects occasionally. The noise level in the work environment is usually quiet to moderate.
