Job Summary:

The School Office Secretary serves as the focal point for communication by mail, telephone and in person. They manage the flow of information within the school and will be responsible for maintaining all schools records. The school secretary also provides administrative executive level special projects support and perform secondary office duties. The School Office Secretary must be flexible, personable, and able to communicate the schools mission and vision, and possess the same core values that are part of the school. This position will also provide administrative executive level special projects support and perform secondary office duties.

Essential Secretarial Responsibilities:

  • Create and maintain a welcoming and efficient front office that emphasizes organization, professionalism, courtesy, flexibility, and teamwork;

  • Use proper telephone etiquette and direct calls appropriately to school staff;

  • Work closely and effectively with the school leadership to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately;

  • Builds internal and external relationships crucial to the success of the school, and manage a variety of special projects, some of which may have organizational impact;

  • Remain attentive, patient, and fair with students and parents;

  • Become knowledgeable about EdisonLearning as well as the school community; be familiar with key EdisonLearning personnel, school board members and/or district personnel;

  • Perform internal administrative office duties including all voicemail administration including setting up new mailboxes and changing school voicemail greeting for vacations, etc.;

  • Provide needed assistance and communicate effectively with Principal and all staff;

  • Maintain all records, including schedule, attendance records, school newsletter, and calendar;

  • Responsible for recording, tracking and following up with students and parents;

  • Manage business related processes as assigned by School Operations Manager and Principal (purchasing/expenses, invoices, office supplies, shipping and receiving, etc.);

  • Provide and/or manage standard school operations, including, but not limited to: student entrance/exit procedures, safety and emergency procedures/guidelines, distribution of student medication, in absence of nurse and understand the local legislation concerning such distribution

  • Business related processes as assigned by principal and/or business services manager (purchasing/expenses, invoices, shipping and receiving, etc.)

  • Coordination of volunteer hours/participation

  • Responsibility for all voicemail administration including setting up new mailboxes and changing school voicemail greeting for vacations, snow days, etc.

  • Responsible for creating and maintaining a welcoming and efficient front office that emphasizes organization, professionalism, courtesy, flexibility, and teamwork;

  • Maintain all school records, including school schedule, student waitlist (using applicable Edison systems/software), attendance records, and school calendar;

  • Responsible for recording, tracking and following up on student tardiness, excused absences and unexcused absences and providing this information to the SIM and SSM, as required;

  • Set up and maintain filing systems for students and staff;

  • Locate and attach appropriate files to incoming correspondence requiring response;

  • Locate and provide data as requested;

  • Maintain appointments and event calendars;

  • Coordinate meetings and events;

  • Performs other duties as assigned;

External: School visitors, vendors, contractors, parents

Qualifications

Required

  • High School degree or equivalency diploma;

  • Minimum of 3 years of experience working in an school office management or high level secretarial position;

  • Experienced with all office equipment (i.e. computers, copiers, scanners);

  • Strong skills with word processing, database, basic bookkeeping, and spreadsheets;

Preferred

  • Prior experience with school district database maintenance preferred;

  • Bilingual;

  • Post-secondary training and coursework in office management preferred;
