SANTA ANA UNIFIED SCHOOL DISTRICT SCHOOL OFFICE MANAGER-INTERMEDIATE BASIC FUNCTION: Under the direction of a Principal III, perform a wide variety of clerical and secretarial functions in the management of a school office at an interme¬diate school; perform public relations and communication services. DISTINGUISHING CHARACTERISTICS: Incumbents in this classification work at an intermediate school with classes ranging from the sixth to eighth grade. Duties are assigned with only general instructions about procedures to be followed and results expected. The number of functions and clerical employees typical exceeds that found in most elementary schools. School programs involve more diversity with older students where discipline and interpersonal problems are critical. Students typically move from class to class and have no home room teacher. Schools are typically very large with large numbers of District employees both certificated and classified, to be coordinated through the school office. REPRESENTATIVE DUTIES: Serve as secretary to the Principal; prepare communications; make appointments, maintain files and speak on supervisors behalf. E Compose correspondence and type from rough drafts or notes. E Prepare payroll for certificated and classified personnel on staff; maintain records with respect to payroll. E Maintain records on purchases for all school departments; keep log of purchase orders and assist principal in monitoring of school budget. E Maintain student body accounts and funds; maintain proper controls over money collected and provide reports as directed to the District Office. E Request substitute personnel, assist substitute personnel in locating their classrooms and in com¬pleting required paper work; insure classroom coverage with school site teachers when substitutes are unavailable. E Respond to questions and provide information regarding the school, its policies and practices; respond to questions by telephone or by personal contact. E SCHOOL OFFICE MANAGER-INTERMEDIATE: (CONTINUED) REPRESENTATIVE DUTIES: (CONTINUED) Make arrangements for staff meetings; maintain the calendar for the Principal and make contacts on behalf of the Principal as directed. E Maintain control of school facility keys. E Provide general assistance and problem_solving help to teachers and classified personnel. E Type a variety of forms, memoranda, requisitions, certificated and classified appraisals and other classified items. E Assist students and their parents with a wide variety of problems and questions. E Submit equipment repair requests. E Assure adequate stock of supplies for classroom and office use, including textbooks; follow up as necessary. E Distribute mail and school bulletins and other communication devices. E Maintain a wide variety of files for the school office. E Prepare and coordinate field trip requests and bus orders. E Assist the Principal and other school staff to meet pressing time schedules. Train office personnel and assist them when help is required; coordi¬nate the school office functions on behalf of the Principal; supervise student assistants. Assist in compiling data for school reports; prepare other school reports as directed. Perform related duties as assigned. KNOWLEDGE AND ABILITIES: KNOWLEDGE OF: Modern office practices, procedures and equipment, including computer equipment. Filing and operation of office equipment. Record_keeping techniques. Health and safety regulations. English, grammar, spelling and punctuation. Reading and writing communications skills. School District organization, operations and objectives. Oral and written communications skills. Applicable Sections of State Education Codes. ABILITY TO: Make simple arithmetic calculations. Operate modern office equipment including computer equipment. Work cooperatively with others. Work independently with little direction. Type at 50 words per minute. Establish and maintain effective working relationships with others. Communicate effectively with others. Meet schedules and time lines. Maintain records and prepare reports. Communicate effectively both orally and in writing. Maintain good public relations with students, parents, teachers and the public. Schedule and plan clerical work. Perform the essential functions of the job. EDUCATION AND EXPERIENCE: Any combination equivalent to graduation from high school and four years of responsible clerical experience involving meeting the public. WORKING CONDITIONS: ENVIRONMENT: Intermediate school environment. Constant interruptions. PHYSICAL ABILITIES: Hearing and speaking accurately to exchange information in person or on the telephone. Seeing to read a variety of materials. Sitting or standing for extended periods of time. Dexterity of hands and fingers to operate a computer keyboard. Bending at the waist, kneeling or crouching to file materials. Lifting or moving objects, normally not exceeding twenty (20) pounds.
