Scheduling Coordinator

The company is seeking a Full-Time Scheduling Coordinator to join our team, which is headquartered in Reading PA. The following shifts are currently available:

  • Sunday through Thursday: 6am-2pm and 2pm-10pm.

  • Monday through Friday: 6am-2pm and 2pm-10pm.

  • Tuesday through Saturday: 6am-2pm and 2pm-10pm.

PREFERRED EDUCATION REQUIREMENTS:

  • Associates Degree

PREFERRED EXPERIENCE QUALIFICATION REQUIREMENTS:

  • Two (2) to Five (5) years of experience in Human Services or administrative field

  • Knowledge of Human Services scheduling

  • Excellent communication skills and organizational skills

  • Excellent writing, record keeping, and computer skills

  • Detail oriented

POSITION STATEMENT:

  • The SCHEDULING COORDINATOR will:

  • Function with autonomy, diplomacy and professionalism within the guidelines established by this organization

  • Promote the well-being of the human aspect of this organization and report any concerns to the OPA Manager

  • Function with the highest esteem in dealing with all employees, supervisors, and consumers of this organization

  • Be an advocate for all of the policies and protocols of the organization

RESPONSIBILITIES OF THE JOB AND ESSENTIAL ELEMENTS:

  • PRIMARY JOB FUNCTIONS

  • Manage scheduling and employee shift coverage

  • Assist in the development and management of all scheduling protocols and programs

  • Audit current schedules to assure compliance to current staffing patterns/budgeted hours

  • Create and maintain schedules as assigned for all employees in all SCFF Programs

  • Work in conjunction with Human Resources to assign all employees to permanent locations and/or permanent schedules

  • Process transfer requests for all direct care professionals to ensure appropriate utilization of employees based on SCFF program needs

  • Field incoming calls pertaining to scheduling and intake requests

  • Identification of employees to cover shifts for call offs during scheduled business hours

  • Supervise, train and monitor the scheduling activities to ensure

  • The competence of all employees to the corresponding shift

  • The accurate completion of required scheduling formats and requirements for all SCFF Programs

  • MITC

  • Run reports, analyze reports, and review for accuracy

  • Monitor overtime and assist in completion of daily time under/over reporting

  • Approve all direct care professionals PTO requests to ensure timely filing and sufficient coverage in all program locations

  • Monitor accurate completion of MITC clock in and out procedures and report concerns to Program Coordinators and Human Resources

  • Assist/research MITC discrepancies and assist with resolution

  • Liaison to SCFF and affiliates for future MITC training

  • Assist with training new SCFF employees and affiliates in utilization of MITC

  • Assist SCFF and affiliates with trouble shooting to identify and resolve scheduling concerns

  • Work in conjunction with the Program Department and Human Resources to identify vacancies in all programs, create reasonable positions when possible, and report open positions to be posted weekly

  • Make recommendations for improvements in scheduling of all SCFF Programs

  • Attend all required meetings and trainings

  • Provide supervision and oversight to the On-Call Specialists

  • Participate in on call rotation as assigned
