POSITION SUMMARY:

The Scheduling Coordinator arranges, integrates and represents all facets of patient services. Meet and greet patients and make them feel welcomed and relaxed. Answer the telephone, schedule appointments, communicate with patients regarding scheduling options, maintain patient records and coordinate patient flow. Manage and control the daily, weekly, and monthly schedule in order to meet the practice scheduling protocol.

HOURS

Monday 6:50 AM - 4:00 PM or 9:50AM-7:00PM

Tuesday 6:50 AM - 4 PM or 9:50AM-7:00PM

Wednesday/Thursday 7:50 AM - 5 PM

Friday 7:50 AM - 2 PM or 4 PM (occasional)

One AM and one PM shift Monday and Tueday.

DUTIES AND RESPONSIBILITIES:

General:

  • Schedule appointments in computer and record in chart

  • Pull and file patient records for each day's schedule

  • Maximize time efficiency in scheduling by utilizing procedure codes for doctor time

  • Check that lab cases have been received the day before treatment, and call in lab cases if needed

  • Greet patients by name and update contact and insurance information as appropriate. Take patient picture when applicable (Open Dental)

  • Alert appropriate staff of patient arrivals

  • Monitor the schedule throughout the day to insure that all runs smoothly

  • Adjust the schedule as necessary

  • Make sure there are open times in the day to provide flexibility or time for emergencies

  • Reschedule late patients and any no-shows that occur during the day

  • Check account balances of patients coming in and prepare to discuss any monies due

  • Adhere to any and all safety health regulations

  • Organize the next days charts/and or patient schedule

  • Register new patients and provide necessary forms

  • Keep patients informed of expected wait time if a doctor is behind schedule

  • Keep the receptionist area looking clean, comfortable, neat and cheerful

  • Filling out and explaining interpreter forms

  • Inform interpreters to schedule for patients

  • Explain ER protocol/procedures to patients

  • Copy and scan documents and X-rays into patients' charts

  • Sanitize and stock front desk area

  • Request chart/patient transfers

  • Record patient issues/conversations in communication log or chart

Writes the schedule for the VISA booth staff * Complete daily logs, calculate monthly goals, track store performance all while maintaining compliance with First National Bank, VISA and Scheels regulations and standards * Stock VISA materials daily throughout the store, order VISA materials as needed; signage, folders, applications, etc. * Organize and execute Card member Appreciation Days or other special promotions at a high level according to standards set by the bank as well as Scheels Corporate Office * Maintain an orderly appearance of personal work space and surrounding areas * Proficiency in Microsoft Office programs such as Excel and ability to learn Google systems like Drive, Google Docs, etc. * Ability to calculate figures and amounts including but not limited to; discounts, percentages, interest, commissions, proportions and volume.
