Acentra seeks a Scheduling Coordinator (Hybrid - South Portland, Maine) to join our growing team.

Job Summary:

The Scheduling Coordinator plays a crucial part in streamlining appointment coordination and supporting the company's commitment to providing timely and comprehensive services in alignment with any requirements.

This is a Hybrid role, working part of the time in South Portland, Maine, and part of the time from home.

Must be within a Commutable distance to the Office.

Work Hours (contractually obligated):  Monday through Friday – 8:00 AM – 6:00 PM Eastern (8 hours to be scheduled within this timeframe.)

Job Responsibilities:

  • Schedule appointments for Level of Care Evaluations in accordance with standing procedures within defined timeframes.
  • Utilize Microsoft Bookings for scheduling or other scheduling software.
  • Contact consumers to schedule an Assessment appointment with an Assessor.
  • Reschedule appointments if Assessment did not take place, identifying and addressing the reasons for missed appointments.
  • Generate form(s) and letter(s) and mail them to the consumer to summarize findings, identify alternatives, and include their recommendations.
  • Maintain database to ensure all inquiries have been responded to promptly.
  • Document call attempts in Atrezzo.
  • Assist the hotline team when needed.
  • Other duties as assigned.

Requirements

Required Qualifications/Experience:

  • High school diploma OR GED equivalent.
  • 3+ years of customer service experience in the healthcare industry.
  • Exceptional customer service skills.
  • Ability to multi-task and prioritize with variable and sometimes conflicting deadlines.
  • Superior attention to detail.
  • Strong communication (written/verbal), interpersonal, organizational, time management, and communication skills.
  • Maintain professionalism, flexibility, and dependability under pressure.
  • Ability to work independently without direct supervision.
  • Knowledge of Microsoft Office programs.
  • Access to high-speed internet.
  • Access to a secure, private work environment with no distractions.

Preferred Qualifications/Experience:

  • Post-high school education.
  • Medical terminology course.
  • Specific medical management industry experience.
  • Knowledge of Microsoft Bookings.

Compensation

The pay range for this position is $15.25-19.04 hourly.

“Based on our compensation philosophy, an applicant’s placement in the pay range will depend on various considerations, such as years of applicable experience and skill level.”
