The Scheduling Coordinator is responsible for the efficient coordination of the client and field staff schedules, ensuring all visits are covered appropriately by all disciplines, focusing on customer and employee satisfaction. The Scheduling Coordinator will communicate both internally and externally to achieve their job duties.
STNA or CNA Certification Required
High School Graduate or GED
Excellent computer skills and working knowledge of Microsoft office programs
Ability to work independently with minimal supervision
Must posses positive, enthusiastic attitude
Good people skills and professional appearance

Is flexible, cooperative, and a team player in fulfilling all obligations

Efficiently and accurately performs the scheduling process to ensure schedules are maintained, updated, and communicated to field staff and Clinical Manager, including: monitoring alerts, open visits, non-completed visits, appropriate staff assignments, etc.
Works with Clinical Manager and Administrator to assign new referrals to appropriate staff, coordinates contract staff as directed by Clinical Manager and/or Administrator.
Creates service orders.
Coordinates, tracks, obtains, follows up on all ongoing insurance authorizations. Communicates with the referral management department.
Updating/maintaining authorization log
Processing admission open reports, order ERS if needed through Healthcom
Coordinates on-call schedule assuring adequate coverage for off-hours, weekends, and holidays.
Produces re-certification report and ensures re-certifications are scheduled appropriately.
Tracks and coordinates unskilled supervisory visits.
Runs reports daily/weekly/monthly/yearly for the Clinical Manager and/or Administrator to monitor office operations
Monitor and take necessary action regarding patients not admitted and assigned visits that are not completed.
Communicate with Case Managers as needed
Responsible for Telephony reporting and monitoring
Handles client and field staff complaints and communicating as necessary to the Clinical Manager and/or Administrator
Keep directions screen updated with pertinent information to enter clients home and anything out of the ordinary the aide or nurse will encounter (DNS list, back ups for priority one clients, special circumstances, examples: pets, keys in mailbox. Do not duplicate information)
Acts as a branch spokesman and representative to the clients
