Scheduling Coordinator

1. New Account/New Order Creation

Receive requests for HSO accounts and new orders to be created, and prioritize based on

urgency

Enter in components of the order into the BAP (includes files, BOM parts, project management

& installation costs, billing and shipping contact information, and recurring monthly services)

Ensure the contract the customer signed off on matches the PMI document or quote in

salesforce. If they do not match, reach out to the salesperson to alert them.

Orders created include breakfix orders, new installation orders for Hilton, IHG, Marriott, Omni,

Radisson, and Independent hotel properties, monthly recurring service orders, project remediation

orders, and credit orders

3. PO creation

Create POs based on included information from project managers in requests

Alert project managers when the PO will put them over budget

Forward POs to project managers

4. Vendor Bidding

Receive requests from project managers to find vendors for upcoming projects, or create bids

for approaching installs based on ready to bid status in the Master Milestone tracker

Choose vendors for projects based on location, availability, the different services they are able

to perform, and equipment they have

Create bid requests including the following information: Room, switch, UPS and AP counts,

design docs, and the BOM

Check to ensure that the BOM and design docs match before sending the bid out. If there is a

discrepancy, reach out to the design team.

Create the Project Management-internal PO, reflecting project management costs included in

the PMI document or Salesforce quote

Follow up with vendors if they do not respond and send bid request to more vendors if those

that are initially contacted are unavailable

In this role, you will be responsible for planning, coordinating, controlling, and directing activities of operational resources. This includes procuring the appropriate labor and materials for work completion within financial standards. Customer interaction, communicating with the Field Technicians, and coordinating job priorities with Service Managers will be an everyday occurrence. Responsibilities: * Coordinates service resources, dispatches and assigns team members to project. * Schedules personnel, materials, sub-contractors and equipment based on project needs, skill sets, and availability. * Interacts and communicates with all Project Managers and HVAC Field Technician Supervisor to assign/dispatch Controls Technicians and HVAC Technicians * Coordinates operations interaction with the Parts Department and Acquisition, as necessary. * Maintains customer satisfaction by investigating concerns, routing them to the assigned staff, and responding to special requests. * Generates work orders, reviews project paperwork, forwards project paperwork to Project Administrators, and generate various reports. Qualifications * Education: High School Diploma/GED required. * Must have excellent Customer Service skills - need to be extremely comfortable and effective on the phone. * Must be organized with the ability to multi-task and prioritize daily interruptions. * Must be detailed oriented and enjoy working in a fast paced environment. * Flexibility to work overtime/weekends, as required. * Knowledge of Word, Excel, Outlook, and Windows. Candidate must be willing to travel to different stores. Primary Purpose: An Asset Protection Coordinator is primarily responsible for preventing and deterring theft and limiting the loss of company assets/product in the store (s) to which they are assigned through best in class service, healthy business partnerships, profit analysis and investigations. Duties and Responsibilities: * Assist the Asset Protection Department in shrink reduction activity, including, but not limited to internal & external theft, exception based reporting and other audit functions assigned by the Regional Manager of Asset Protection. * Develop knowledge of criminal justice system and the laws pertaining to private security practices. * Maintain working relationships with local police and court systems. * Complete and maintain accurate and appropriate reports and files. * Must maintain company and location averages as it pertains to shoplifting apprehensions and deters. * Detect, apprehend and/or deter shoplifters following established company guidelines and legal statutes of the states we operate in. * Make court appearances when necessary as a result of prosecution. * Be proficient in Closed Circuit TV and other asset protection technologies and programs. * Maintain extreme confidentiality of all related information and investigations. * Assist Regional Asset Protection Manager in training new Asset Protection Coordinators. * Perform other duties as assigned. * Must be able to meet the physical requirements of the position, with or without reasonable accommodations. * New York State: Must have current New York State Security License or be able to obtain one (this will include successfully passing a required background check).
