LOOP LLC (Louisiana Offshore Oil Port) has an opening for a Scheduling Clerk. This position will be assigned to the Covington, Louisiana Headquarters and will report to the Superintendent, Scheduling & Foreign Trade Zone. This position routinely requires eight hour (8) days on a 5/2 schedule.

The Scheduling Clerk is primarily responsible for creating, maintaining, organizing and filing reports, records, correspondence and other scheduling documents and for providing other general administrative support for the scheduling department personnel.

Essential Duties and Responsibilities:

  • Develops various Scheduling reports and updates statistical information and disseminates as required including, but not limited to ship schedule, Tanker demurrage worksheet, 12 month rolling averages, cavern and tank history reports and historical data

  • Calculate and record vessel demurrage

  • Scan and transmits vessel nomination letters and shipper accuracy letters

  • Processes and transmits in-system transfer documents to customers, supporting the Schedulers with required documentation.

  • Maintains the department's recordkeeping for scheduling documents based on the information received by the Schedulers.

  • Transmits rate sheets and Term and Conditions

  • Receives and provides information to respond to requests from shippers and shipper agents for tanker discharge information.

  • Orders the department's office and business machine supplies and maintains the office supply inventory.

  • Prepares and files VTC logs and vessel boarding packets

  • Scans, transmits and files work orders

  • Maintains Shipper contact lists in OMSII

  • Update Scheduler reference books

  • Maintain cavern assignments on website

  • Support vetting coordination

  • Support System Inventory Report data gathering

  • As part of the Hunt Group: Supports the telecommunications process by providing coverage for the Hunt Group/ Console Answering Team within the PBX System. Greets visitors at Headquarters, signing visitors in and contacting appropriate department to which the visitor has business.

  • Maintain required training and certification(s) according to LOOP and OSHA Standards.

  • Maintains up-to-date knowledge of and strictly adheres to LOOP safety requirements.

Education: Associate's Degree or technical training in Business or Accounting preferred. High school diploma or equivalent required.

Experience: Minimum two (2) years prior experience in administrative assisting/ business/ accounting setting.

Licensure/Certification: None.
