The Scheduler is responsible for scheduling appointments via phone or from faxes sent from referring physicians as well as patients calling and requesting appointments. Interacts with referral sources and exercises independent judgment in determining appropriate sub-specialty required based on diagnoses, symptoms, and other information provided by referring providers.

Must possess thorough understanding of physician scheduling protocols to ensure efficient use of physician times without negative affecting patient access. Requires experience and knowledge of Managed Care, Indemnity, Medicare, Medicaid, and other payment systems to include insurance requirements for prior authorizations for visits and/or procedures and rules for determining primary and secondary payment sources. Duties may also include greeting patients, registration, visit confirmation and notification, obtaining current insurance information, collection of payments or other services and assistance required to assure that patients? needs and expectations are fully met.

The Scheduler must provide service to all patients, visitors, and colleagues with professionalism, respect, friendliness, and confidentiality. The Scheduler is responsible for assuring that all administrative policies and procedures are implemented and followed within the Practice under the direction of the Practice Administrator. They may also be cross-trained to provide assistance with other duties as needed.

Position Requirements

High School Diploma, GED or equivalent from a recognized State or Federal accrediting organization. Minimum of two years experience in a related setting including a working knowledge of information systems, insurance processes, medical terminology and experience managing high volume of callers through a multi-line phone system.

Calculator, Windows Office experience required. Keypunch speed of at least 35 wpm.

Ensure that call center resources are utilized to provide optimum service levels for customers globally while contributing to a world class work environment. Perform trend analysis of local site, community, and global staffing needs. Coordinate with site resource planning manager and RP team community planning analysis to lead creating and maintain agents' schedules including planned meetings, training and other events as needed. Provide clear and concise statistical reporting for local and national priorities. Organize and present analysis on regular basis for team members, site, and senior leadership team. What you'll do in your role. Ensure that call center resources are scheduled and utilized to provide optimum service levels in all skill groups: * Coordinate with local leadership and analyst, including Site Directors and regional senior managers, to schedule training, meetings, coaching, and local priorities to ensure all deadlines are met. * Plan and manage net staffing in partnership with RP Manager, including decisions on new hire classes, attrition forecasting, and rep seating to maximize capacity. * Coordinate with other Site Planning Analysts and LOB partners on a global scale. * Analyze current schedules, comparing them to current staffing requirements to ensure we are staffed properly in all skill groups. * Analyze scheduling data and make recommendations to management based on the findings to include adjustment review and business changes. * Prepare schedules for global and local realignments, optimizations, and all levels of mini-bids. * Host and participate on national calls, cross-functionally to discuss status, provide detailed analytical data on multiple metrics, make recommendations on staffing moves, and identify mitigation opportunities * Partner with forecasting and staffing, provide and gather input, to ensure forecasts are accurate. * Ensure local analysts have the reporting and data needed to manage individual community partners. Provide clear and concise statistical reporting: * Create, program, format, maintain, and produce reports both on ad hoc and routine basis, for individual, teams, work types, departments, and sites * Advanced working knowledge of excel for report generation and PowerPoint for presenting analysis. * Correlate Ops & RP Metrics by partnering with all departments to provide overall impacts and trends. Also, give guidance to Coordinators for site partnerships * Continue development of and implement automation for local and national RP reporting to measure performance and provide analysis * Maintain data integrity in all systems Also responsible for other Duties/Projects as assigned by business management as needed.
