We are currently seeking a detail-oriented and highly organized individual to join our team as a photo Sample Coordinator. You will play a crucial part in ensuring the accurate representation of our products through high-quality visual content. As a photo Sample Coordinator, you will play a critical role in ensuring that our product samples are properly prepared, organized, and photographed in our Milwaukee photo studio.

MISSION:

In partnership with the merchandising team and the photo studio operations, the Sample Coordinator will request, obtain, check-in, and track quality product samples throughout various workflows and creative projects. Meeting set deadlines and ensuring data is recorded and labeled on the samples in a timely and accurate manner is a priority in this role.

Responsibilities:

Sample Management (40%):

Request, check in, and organize incoming product samples for photography, ensuring they are correctly labeled and stored.

Maintain an organized sample inventory, keeping track of sample locations and availability.

Coordinate with the Sample Team Manager to ensure samples are readily available for upcoming photo shoots.

Track samples across various spreadsheets to ensure the accuracy of received samples.

Assist On-figure and Off-figure Stylists in locating specific samples for corresponding imagery

Data Management (50%):

Update weekly and monthly spreadsheets utilizing Microsoft Excel and Google Spreadsheets using the data pulled from reports.

Maintain accurate records of sample usage, returns, and exchanges to keep track of a sample’s location.

Assist in generating reports and analytics related to sample management and photography.

Quality Control (10%):

Conduct thorough quality checks on samples to ensure they meet Wantable's standards. This includes samples produced and sent from Wantable’s Private Brands.

Inspect samples for any defects, damages, or inaccuracies, and communicate findings to the appropriate teams and Sample Coordinator Manager.

Collaborate with the creative and merchandise teams to provide feedback on sample quality and accuracy.

Goals:

Check in minimum of 12 samples per hour

98% Accuracy in product labeling, tagging, data entry, and organization.

Ensure data entry is done within 1 day of sample arrival.

Ensure quality of samples align with merchant expectations of color and size of sample.

Clear and consistent communication across vendors and peers.

Increase the percentage of samples received annually by 10%.

Outcomes:

Operate with efficiency to track and manage samples across various workflows.

Foster studio organization and maintain such organization.

Uphold standards for merchandising and marketing needs.

Improve relationships across vendors and internal teams.

Decrease the number of priority SKUs for the e-commerce team.

Requirements

Skills and qualifications:

Close attention to detail with excellent organizational skills is required.

Must be fluent in Microsoft Excel and Google Sheets.

Previous experience in sample coordination, product management, retail, or a related field is preferred.

Strong communication skills to collaborate effectively with cross-functional teams and vendors.

Ability to multitask and prioritize workload in a fast-paced environment.

Proficient computer skills, including experience with data entry and record-keeping.

Knowledge of fashion, trends, and garment construction is desirable.

A keen eye for quality and the ability to identify product defects or inaccuracies.

Ability to work independently as well as part of a team.

Physical Demands:

The physical demands described here are representative of those that must be met by an employee to perform the essential functions of this job successfully. Daily attendance is necessary. This position requires the employee to be on their feet the majority of the shift. The employee is occasionally required to sit; regularly climb or balance, bend, stoop, kneel, crouch or crawl. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 50 pounds; pushing and pulling of wheeled dolly up to 80 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus. Camera flashing during the workday happens weekly while shooting for e-commerce.
