Ø Position Summary

This position handles the movement, management and administration of all shipping related activities.

Ø Objective

To conduct accurate and timely acceptance, sorting, prioritization, interpretation, and distribution of incoming samples, company supplies, and information. This position is accountable for the suitable handling and processing of the entire inventory within the department. Working with other members of the team and maintaining seamless functions in the department are also amongst some of the core essentials of the profile of this position.

Ø Major Roles & Responsibilities

  • Ensure proper receipt of all incoming packages into the Sample Control Department

  • Open, segregate and prioritize all incoming samples, supplies, packages and information

  • Ensure appropriate distribution of samples, supplies, packages and accompanying information

  • Convey pertinent information to appropriate BV personnel

  • Assist with the coordination of the sample storage areas for all departments, to include organization, transportation and general disposition of tested and history samples, as applicable

  • Assist with the destruction and disposal of samples in accordance with applicable Standard Operating Procedures

  • Adhere to the requirements of the BV-CPS Quality System and assist with the implementation and maintenance of the department quality system

  • Provide feedback to department supervisor regarding departmental systems, processes and recommendations for improvements

  • Maintain the work area in accordance with applicable Safety, Security and General Housekeeping requirements

  • Provide guidance in the coordination of sample storage areas for all departments, to include organization, transportation and general disposition of tested and history samples, as applicable

  • Proper identification of samples/control through inventory in accordance with Sample Control Standard Operating procedures

  • Maintain procedures directly or indirectly pertinent to department

  • Other duties as assigned by Supervisor/Manager

Additional Responsibilities:

  • Ensure samples are photographed upon receipt in accordance with the Sample Control Standard Operating procedures

  • Maintain accountability of "On Hold" samples, both on and off site

  • Enter information accurately and timely into the BVLab system

  • Order and maintain shipping supplies, as required

  • Provide follow-up of missing packages (with outside courier services), as applicable

  • Prepare and initiate proper delivery of packages via outside courier services, as applicable

Ø Key Performance Indicators & Metrics (Criteria for Performance Evaluation)

KPI's for this role will be determined as part of the annual PMP process, but could include:

  • Zero missing samples

  • On time "day zero" deliveries to lab

  • Process time reductions in sample movement

Additional KPI's:

  • Attaining an average of 100% efficiency in the Sample Control Login process

  • Improve login cycle time average through the Kaizen/Continuous improvement initiative

  • Reduce inter-department errors through measured Quality initiatives

Ø Experience and Educational Background Required for the Job

Sample Control Coordinator I:

  • High School Diploma and 3 years related experience; or
  • 2 year college degree and 1 year related experience
