Position Description - Sample Coordinator
This position is responsible for the sample purchase process including buying, evolution, tracking and completion of sourced and domestic sale samples to meet critical calendar dates. Additionally, this position communicates sample order status with vendors and internal departments, supports the productivity of the sample area, and communicates critical sample activity flow to the sample team to support on-time sample completion.
Responsible for the buying, evolution (component approval, exit factory / production status, domestic art status, work orders) and completion of import and domestic sales samples by recording and maintaining sample tracking data in assigned documents, systems, and databases.
Maintains, distributes and updates sample matrix to ensure sample quantity needs are met.
Compiles matrix, line plan, source plan, and pricing data to create sample buy file, enters purchase orders to meet all sample requirements.
Communicates requested exit factory and key dates / priorities in order to meet calendar deadlines (photo shoots, sales meetings, licensing submittals) and follows up to ensure deadlines are met.
Buy file, database and PO maintenance and data validation.
Validates domestic blank availability and indicates inventory status on buy file and sample database.
Performs audits regularly to ensure data integrity.
Communicates with hubs / vendors and internal departments potential delays / issues / revisions and offers options to minimize impact.
Provides metrics on a weekly basis (PO, exit factory, receipt, sales force shipments).
Supports process, system enhancements and offers ideas / solutions to create efficiencies.
Prioritizes and schedules workload to meet deadlines.
Creates and maintains SOP documentation.
Miscellaneous functional sample area duties (invoice reconciliation, preparing for photo shoot meetings, special sample requests, etc.).
Years of Related Professional Experience: 3-4
College degree preferred or equivalent work experience in analytical or data management field
Excellent PC skills (advanced spreadsheets, pivot tables, comfort working with complex data tables)
Must be able to adapt to new computer systems as it relates to the job function.
