Description

Job Summary: This position is a full-time non-exempt role. The Sales Support Specialist is an office administration support role. The primary focus will be to address administrative tasks relating to our Sales Team. These include maintaining proactive, timely compliance with our vendor programs, supporting our Client Relationship Manager, and maintaining lists. These functions should align with our Vision, Mission, and Values while supporting the Sales Team.

Essential Duties and Responsibilities: Duties will include, but are not limited to:

  • Communicating clearly and professionally with internal and external customers, including via phone calls, emails, and business letters.

  • Proactively communicating with Business Development Leaders.

  • Working effectively as part of a team to achieve established goals.

  • Preparing, compiling, and sorting documents according to established processing protocols.

  • Collecting initial and subsequent information from vendors/partners and following protocols to upload information into vendor platforms (e.g., RealPage, Net Vendor, Vendor Café, etc.) and their subsidiaries (e.g., OpsTechnology, RMIS).

  • Scanning documents into document management systems and/or databases.

  • Combining and rearranging data from source documents, entering data from source documents into the database.

  • Collaborating with our legal department on documents requiring legal review.

  • Updating data and deleting unnecessary files.

  • Providing general support and oversight of Companies and Contacts in our Client Relationship Manager (currently Luxor).

  • Assisting with marketing lists and report downloads in Luxor.

  • Auditing job information in our CRM (currently Luxor).

Education and/or Experience:

  • High school graduate with some college preferred. Two years of related experience and/or training; or an equivalent combination of education and experience.

Language Skills:

  • Demonstrate the ability to write routine reports and correspondence, and the ability to speak clearly and effectively to customers and/or employees of the organization.

Reasoning Ability:

  • Possess the ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Computer Skills:

  • Ability to comprehend and execute various computer software applications. Experience in Microsoft Office and Excel preferred. Comfortable with utilizing components of Power Automate.
