We are seeking an individual who is driven by both data analytics and client service with the ability to successfully manage multiple administrative priorities. A Sales Specialist for Institutional Equities works across the sales and trading department to provide a high level of client service and support with the opportunity to advance overtime. As a Sales Specialist for Institutional Equities, you will:
Be a resource utilized across the department for a variety of responsibilities allowing you to learn across all functions of the business.
Manage outside vendor and client invoices. Interface with Baird Finance team for reporting needs and execution of invoices.
Maintain our client agreements and liaison with legal as well as department leadership to complete, execute new and renew current agreements.
Accurately complete monthly reporting for client resource usage.
Answer phones and/or initiate telephone calls; provide information or refer callers to the proper associate
Review expense reports to ensure they comply with our department's expense policies.Create and enforce best practices for process efficiency.
Develop an in-depth understanding of client data in order to maintain accurate information in our CRM system.
Keep client records using a variety of research tools to preserve accuracy. Perform Word and Excel functions of moderate complexity. Compose letters, emails, and reports from verbal or written instructions.
Support senior leadership within department including calendaring, travel logistics, phone support, etc. as necessary.
Administrative support for the department, including office/facility logistics and communication.
Develop and maintain relationships with associates across the department including: Sales, Trading, Research, Corporate Access, Conference Services, Equity Capital Markets Desk and the team of Equity Coordinators.
Manage various projects based on department needs.

What we look for:
Bachelor's degree preferred and a minimum of 1-5 years' experience performing support functions. Industry experience helpful. Series 7 and 63 are a plus within first few years.
Exceptional organizational skills is consistent, dependable and accurate. Ability to prioritize daily workflow to effectively meet deadlines.
Exceptional communication skills - ability to effectively exchange ideas and information or influence others with a high level of professionalism.
Must be detail oriented and recognize errors in numbers, spelling, grammar and punctuation. Must demonstrate good follow-through skills to ensure a successful end result.
Strong team player mentality- willing to pitch in and help other team members and leaders as necessary. Flexible and highly adaptable.
Ability to tolerate peak workloads and maintain flexibility and composure in a high volume, high-intensity environment.
Ability to work independently in a fast-paced team environment with minimal supervision.
Excellent PC skills Advanced knowledge of Microsoft Word, Excel and PowerPoint. Experience utilizing pivot tables in excel is helpful.
