Manages proposal efforts for the company


  • Will work closely with the Operations Manager, Sales Strategy Manager, Technical Marketing Manager, Regional Sales Managers, Functional focals and Operations Specialists to manage all aspects of the proposal process for assigned opportunities, including contributing substantively to research, technical writing, and team and process development for assigned proposals

  • Will drive proposal efforts throughout the company, in an effort to meet committed lead times and airline deadlines, while continuously working on improving efficiencies within the process

  • Assist to improve the sales and therefore marginal profit of the company as it relates to quality of work, process control and efficiencies, cost reduction programs, identifying areas of strategic focus for cost improvement plans and working with the associated functional focals to meet this end

  • Assist the Sales Managers and Sales Administrators to clarify, coordinate and convey requirements to the internal functional groups to support the OEM's, airlines and aircraft leasing companies

  • Will collect, track, fact-check, and edit all required documentation and quotes from the proposal team

  • Prepare and maintain assigned proposal requirements and schedules. Track and report status, feedback and performance back to the Sr. Operations Specialist

  • Involve coordination, negotiation and escalation of proposal quote requirements when normal lead times are not met or are in jeopardy of not being met. Alternate options must be requested, suggested or submitted to the functional groups for review and comment

  • Assist to create, edit and proofread proposals for consistency and accuracy, often under tight deadlines, through coordination and negotiation with the Functional groups, Finance and Regional focals. Obtain appropriate corporate approvals prior to final submittal to the region or customer

  • Self manages daily workload and priorities, based on direction from the Sales Operations Manager or Sr. Sales Operations Specialist

  • Assist to maintain, update and continuously improve proposal templates, boilerplate materials and the development of marketing materials as needed.


  • Must have a strong ability to deal in a matrix management environment

  • Manager level, but could require limited communication to higher levels of management

  • Need strong internal negotiation skills

  • Must be very detail oriented (specifically with cost/price information) with a high level of organization skills to constantly field and reprioritize proposal requirements and priorities.

  • Excellent communication skills

  • Proven organizational skills and ability to multitask under tight deadlines

  • Excellent analytical and interpersonal skills

  • Foreign language skills highly desirable


  • Minimum of a Bachelor level degree in Business Administration, Communication, Journalism, International Relations or other relevant field required, Masters preferred

  • Minimum of five years related experience
