Job Summary

Enter and retrieve information contained in computer databases using a keyboard, mouse, or trackball to update records, files, reservations, and answer inquiries from guests. Transmit information or documents using a computer, mail, or facsimile machine.

Operate standard office equipment other than computers. Prepare letters, memos, and other documents using word processing, spreadsheet, database, or presentation software. Handle incoming and outgoing mail, including date stamping and distributing incoming mail.

Create and maintain computer- and paper-based filing and organization systems for records, reports, documents, etc. Compile, copy, sort, and file records of office activities, business transactions, and other activities. Enter and locate work-related information using computers and/or point of sale systems.

Follow all company policies and procedures, ensure uniform and personal appearance are clean and professional, maintain confidentiality of proprietary information, and protect company assets. Welcome and acknowledge all guests according to company standards, anticipate and address guests' service needs, assist individuals with disabilities, and thank guests with genuine appreciation. Speak with others using clear and professional language, prepare and review written documents accurately and completely, and answer telephones using appropriate etiquette. Develop and maintain positive working relationships with others, support team to reach common goals, and listen and respond appropriately to the concerns of other employees. Move, lift, carry, push, pull, and place objects weighing less than or equal to 10 pounds without assistance. Perform other reasonable job duties as requested by Supervisors.

The Executive Assistant will provide executive level administrative assistance in a fast-paced environment to the Group Deputy General Counsel, North American General Counsel and other members of the legal team as needed. Administrative support includes, but is not limited to, the following: * Provide primary administrative support to the Group Deputy General Counsel, North American General Counsel and other members of the legal team. * Establish effective communication and develop professional relationships with staff, external vendors and customers. * Responsible for the planning and coordination of meetings involving staff, in-person or telephonic, including preparing and organizing all arrangements relating to the meeting location, materials, meals and conference call lines as needed. Create itinerary and document detail in Outlook. * Effectively utilize travel tools in conformity with policies and procedures to complete all aspects of travel (flights and transportation and hotel accommodations), both domestic and international. * Manage incoming telephone calls/emails and requests in a timely matter. Will require the ability to resolve routine to moderately complex inquiries and knowledge of when to escalate to the attention of the executive staff. * Coordinate departmental All Hands and Senior Leader meetings which includes ordering necessary supplies, video conference equipment set up for offsite attendees, consolidating PowerPoint presentations, scheduling of presenters and necessary refreshments. * Take meeting minutes and assist in tracking action items from meetings when requested. * Process expense report(s). * Maintain distributions lists and organization chart(s). * Format and edit letters, reports and presentations and all other correspondence from draft state to final draft. * Order office supplies including business cards for executive(s) as needed. * Assist with department new hire set up: equipment ordering, office supplies, profile set up, onboarding meetings (travel profile, expense reports, Oracle set-up, education express, Amex card and mobile phone if required). * Act as a backup for other Executive Assistants as needed. Qualified candidates for the Executive Assistant will meet the minimum requirements as listed below: * 5 years prior administrative work experience providing support to senior level executives. Bachelor's Degree and experience in a law office or in-house legal department preferred but not required. * Must show a history of being a self-starter in identifying ways to make the department's workload more manageable, while maintaining positive relationships with other executive assistants and company staff. * Ability to set priorities based upon criticality and importance within the department and as part of the company's overall directive. * Advanced level experience with MS Office, especially Outlook, Word, Excel and PowerPoint and managing busy executive schedule(s). * Excellent written and verbal communication skills. * Confidentiality is a MUST. * Efficiency and attention to detail are critical, there will be urgent items to manage such as travel and scheduling changes. * Hours for the role are ideally 8:00 am - 5:00 pm but there is some flexibility. Being flexible to meet the day to day needs is very important. Some OT is required. * Exceptional organization and prioritization skills. * Willingness to become a certified Notary.
