The Sales Coordinator is responsible to make a compelling difference in the lives of our residents through providing excellence and innovation in aging services. The Sales Coordinator is responsible for supporting the sales process for Independent Living (IL), Personal Care (PC), and Skilled Nursing (SNF) at one Wesley Enhanced Living community. This individual must be able to assist the Sales Manager and Care Transition Manager in the creation, management, and implementation of new lead generation programs at the communities, the processing of required documents for resident move in's, as well as compilation and analyses of marketing and sales reports. Significant interaction with prospective residents and family members for a wide variety of issues prior to move in, to assure a smooth move in process for new residents.

Sales Coordinator essential duties and responsibilities include, but are not limited to:

  • Maintain prospect database including data entry, transferring leads, and generating lead, tour and move in reports as needed

  • Mail and email brochures to prospective residents & maintain supply of literature for use throughout the building & for mailings

  • Assist in creation, planning and implementation of community open houses, events and senior club luncheons; follow up, gather data and compile feedback post event.

  • Assist Sales Manager with prospect tours and lunches at open houses

  • Assist Sales Manager and conduct follow up calls to lead database on a regular basis, with goal of setting appointments for Sales Manager

  • Implement community outreach follow up phone calls/emails as directed by Sales Manager

  • Create and maintain all resident records in WEL PointClickCare system.

  • Prepare all new resident independent and personal care contracts including but not limited to working with Sales Manager to coordinate all aspects of pre move-in paperwork with physicians, families and facility staff, and follow up on all documentation to ensure completion and accuracy; preparing files and move in collateral.

  • Communicate all move in progress/updates to community staff

  • Verify details and organize actual physical move in for new resident with community staff; coordinate with hospitality committee to assure seamless transition for new resident

  • Maintain detailed and accurate records for all IL, PC, and SNF residents: move-ins, outs, transfers, in-house moves, changes in level of care, etc.

  • Create and maintain all resident records in WEL PointClickCare system.

  • Coordinate all in house moves with residents, families and moving/packing services.

Related Experience: 2+ years' experience in a sales or marketing support role, with demonstration of progressively increasing responsibilities and growth

Education or Degree Requirement: Bachelor's degree in business administration or marketing preferred

Licenses, Certifications, Registrations: Valid Driver's License with current Car insurance
