The Skills You Will Gain:

  • Acquire working knowledge of the customer profiles and requirements

  • Understanding of In Scope and Out of Scope tasks or escalating to team lead for help in managing expectations

  • Acquire working knowledge of VectorUSA's Order Management process

  • Achieve level of independence to work non-complex orders through the entire process with minimal errors or recognize issues that require escalation

  • Ability to work collaboratively to learn necessary skills to complete the team's daily workload, provide backup, and prepare communications

  • Learn the major product lines at VectorUSA and how that technology performs for customers

  • Acquire ability to quote and book orders from Bill of Materials (BOM)

What Your Typical Day Will Be:

Sales Support Tasks

  • Opens Opportunities & Estimation Request Forms (ERF's) within Microsoft CRM system

  • Create and processes work orders

  • Follow up with job/scheduling status

  • Gets support renewal quotes from Manufacturers

  • Puts support renewals into FileMaker system

  • Pulls down Request for Proposals (RFP's) from customer websites and creates RFP responses

  • Sends appointment invites to customers

  • Builds required spreadsheets

  • Calendar management for Regional Sales Manager (RSM) and Account Executives (setting meetings Internal and external)

  • Assist with accounting/invoice management (Internal/External Interfacing with Billing) to help in collection and invoicing process

  • Project Closeout Documentation

  • Coordinates with Sales Engineers / Estimators to put together cut sheets/submittals

  • Assists with setting up Final Folders

  • Opportunity Creation/Management, ERF Creation/Management

  • Creates reports for sales leadership's One on One meetings

  • Regularly updates office forecast tracker

  • Prepares Monday sales meeting reports for read out

  • Helps prepare maintenance quotes for renewals, interfacing with vendor partners (HPE, Cisco, OnSSI, Etc.). Distribution and VectorUSA Purchasing and quote delivery to customer.

  • Completes Deal Registration with vendor partners (Cisco, HPE & etc.)

  • Price requests, Quick quote material only proposals

  • Filemaker data Entry (Bill off Materials) and review duplication of VRN's

  • Opens Maintenance tickets with VectorUSA Network Operations Center (NOC)

  • Follow up with Operations team on job scheduling and closes loop with Customers

  • Works with client and VectorUSA on Return Material Authorizations (RMA's)

  • Creates Microsoft PowerPoint presentations and documentation for formal presentations

  • Occasionally when requested will join customer meeting to discuss Billing/Invoices

  • Assist with upcoming projects

  • Prep Contract documents, Item 21s, E-Rate questionnaires for billing/accounting
  • Coordinates and manages customer events (e.g. lunch and Learn's)

Administrative Tasks

  • Liaison with Human Resources: Work with the HR Manager, HR Coordinator, & Recruiter to schedule interviews, process applicant forms, administer testing, coordinate with applicants, and print necessary paperwork

  • Manage bi-weekly office supply orders and maintain appropriate quantities in reception stock room

  • Handle inquiries made by internal and external customers

  • Coordinate with other departments/employees within the company

  • Assist with administrative overflow and special projects from other departments as needed

  • Work cohesively with all other administrative support throughout the VectorUSA organization

  • Operation department support

  • Print paperwork/drawing, download field test results, coordinate/inventory of client keys (pick up & drop off), order shirts for field technicians
  • Office maintenance
  • Coordinate maintenance (plumber, printer tech, A/C etc.), interface with cleaners and landscapers with issues.
  • PO requests, Expense Reports submittal

Reception / Front Desk Tasks

  • Assist receptionist with:

  • Cover incoming calls during lunch breaks for other office location's reception, mail/FedEx distribution, stock water Manage incoming calls company wide, routing calls as appropriate

  • Receive incoming courier packages and prepare outgoing packages

  • Receive and distribute fax correspondence

  • Process daily outgoing mail and retrieve incoming mail including opening, stamping and sorting

  • Manage conference room bookings

  • Assist with catering for meetings and other corporate events

  • Keep office area's and the front desk tidy including loading and unloading coffee area dishwasher and making sure coffee is fresh for employees and guests

  • Shredding and filing as needed

  • Other duties as assigned


What You Bring To The Table:

  • High school diploma / GED

  • A minimum of two (2) years of experience providing administrative support in an office environment

  • Must be flexible in day to day dealings with all internal and external interactions

  • Must be proficient in Microsoft Word, Excel, Outlook, Visio, and PowerPoint: including working with, manipulating, and creating spreadsheets

  • Detail oriented and capable of producing quality work with minimal errors

  • Excellent customer service skills; able to work as part of a team

  • Strong verbal and written communication skills

  • Ability to maintain confidentiality of sensitive information

  • Positive attitude and proactive approach to responsibilities

  • Strong time management skills; ability to organize and prioritize work in a fast-paced environment

  • The ability to take directives from multiple sources while managing workload

  • Professional demeanor

  • The ability to work with little or no supervision

  • Must be able to work 40 hours per week during standard business hours

Preferred Experience:

  • Bachelor's degree or a related field, or equivalent corporate or military training

  • Experience in an office manager, sales support, or customer service role
