The Sales & Catering Coordinator is responsible for providing administrative support to the Sales Managers, Catering Managers and Director of Sales.REQUIREMENTS:*
  • Minimum 1 year of hotel or relevant experience servicing groups and/or detailing events * Relevant Bachelor's degree preferred or equivalent combination of education and experience * Must possess a valid New Mexico Driver's License and a clean driving record * Must have a vehicle and valid insuranceESSENTIAL JOB DUTIES AND RESPONSIBILITIES:1.Screens, evaluates and routes incoming phone calls. Answers the phones of the sales staff in their absence.2.Knowledge of each sales managers' market segments and responsibilities in order to direct client inquiries appropriately. Take accurate messages in their absence.3.Prepare VIP and other amenity requests. Deliver VIP in room amenities4.Responsible for faxing, copying, filing and any other clerical duties.5.Prepare in-house flyers and menus for special events, participate in coordination of special events6.Responsible for maintaining adequate stock of sales collateral and internal documents. Responsible for ordering the supplies for the sales department and submits to Director of Sales for approval.7.Ensure work area and office cleanliness and organization is maintained at all times.8.Maintain efficiency in the operation of the staff in a high standard of quality of service and courtesy, bringing total satisfaction to our guests and the hotel.9.Maintain the BEO book with updates and changes as made by each Sales Manager , send a daily change log to Banquets and Food & Beverage10. Be a Team Player and encourage the teamwork attitude among staff.11. Promote open channels of communication between all hotel departments.12. Attends department meetings and as needed, attends interdepartmental meetings.13. Be familiar with the operating procedures of all other areas of the hotel, cooperating fully and in a friendly manner with those areas to assure customer satisfaction.14. Run & send out Daily VIP list, Daily Events Report and Elite List at the end of each day15. Catch and assign leads in CI16. Follow supervisor's instructions and completes other duties as directed or assigned.17. Prepare door signs & directional signs for the following day(s)18. Create and update the Weekly Events Report19. Assist at the front desk and Group Rooms Coordinator when needed (insert rooming lists, assign rooms and floors for groups, welcome letters etc.)20. Handle Group reservations as needed in tandem with Group Rooms Coordinator.21. Detail In House Meetings and assist Managers in needed time frames to detail conventions.22.
