Posting Overview:

The Sales and Catering Coordinator assist sales and catering managers in achieving customer satisfaction by performing administrative duties relating to guests, hotel communications and sales. Responds to telephone and in-person inquiries regarding reservations, hotel information and guest concerns.


  • Answer phones and ensuring all inquiries are dealt with accurately, timely and in a professional manner (within the same business day or by 10 am the next business day).

  • Type correspondence, reports and forms as well as prepare simple written correspondence.

  • Prepare file/paperwork/rooming list within 24 hours of receiving original.

  • Create new files and monitor future trace requirements.

  • Prepare cover sheets and rooming lists based on room blocks and customer information.

  • Assist sales manager and/or director of sales on projects, proposals and special events.

  • Maintain timely and effective paper flow and communications within the sales area.

  • Pull all reports on Thursday for the next 10 day distribution.

  • Professional and positive communication to both guests and fellow associates.

  • Contract inbound inquiries within your market of responsibility.

  • Weekly sports audit review.

  • Enter daily pick up for guest rooms

  • Weekly audit of guest room pick up between OnQ/SHARP and Delphi for accuracy.

  • Complete commission and rebate reports weekly for actualized groups for sales manager review.

  • Check availability of guest rooms/room types upon request.

  • Create room group room blocks in R&I and OnQ.


  • Assist guests with changes and special requests, as needed.

  • Provides assistance to other associates and departments to contribute to the best overall performance of the department and the hotel.

Advanced knowledge/use of Microsoft Word applications: Word, Excel, Publisher and PowerPoint. Alphabetizing, grammar and punctuation skills. Standard business letter formats. Strong editing skills.

Excellent communication skills necessary to communicate clearly with customers and other departments by phone or in person. Able to read contracts and letters. Able to use computers. Excellent attention to detail and multi-tasking skills. Bending/kneeling - repeated bending and kneeling required while filing, Mobility - must be able to reach all areas of hotel to assist clients. Occasional standing. Occasional carrying and lifting of files and office items up to 25 lbs.

Education/Formal Training

High school diploma or vocational secretarial.


Previous sales, hospitality, and secretarial experience preferred.
