Summery of Sales & Events Coordinator Position:

At Hyatt Place & Riverfront Events, the Sales & Events Coordinator reports director to the Director of Sales & Events. This is a support role, which requires experience in both Hotel Sales as well as Banquets and Catering. The responsibilities of this particular role include but are not limited to the following:

  • The Job Requirements outlined in the "General Summary," "Principal Duties and Responsibilities," and "Job Requirements" below, provided by Onix Hospitality in the section below.

  • Additional Responsibilities as assigned by partnering management company, Big Fish Restaurant Group.

  • Special Events functions including booking, detailing, planning, payment processing, contracting and executing functions.

  • Fielding inquiries and responding to leads in a timely manner.

  • Performing regular market research and sourcing new business opportunities.

  • Maintaining Hyatt Place & Riverfront Events' Sales and Marketing Collateral.

  • Providing direction and supervision to banquet staff.

  • Ensuring the meetings and events are executed properly and to the guests' satisfaction.

  • Cash handling responsibilities.

  • All other tasks as assigned by the Director of Sales & Events

General Summary:

The Sales Coordinator is responsible for maximizing hotel revenue by seeking out, booking and executing hotel group and catering business.

Principal Duties and Responsibilities:

  • Coordinate and support all aspects of sales activities including taking initial inquiries, generating leads, proposals, referrals, contracts, blocking space etc.

  • Achieves group block and catering revenue goals by developing and implementing strategies for selling available space and hotel rooms to groups and local community.

  • Complete outside sales calls as directed by Assistant General Manager/General Manager.

  • Process proposals and contracts as required, and follow up within five (5) work days.

  • Process returns of contracts and distribute through proper channels internally.

  • Maintain an accurate count of all Sales collateral.

  • Conduct post-function communication to review overall function.

  • Coordinate specific marketing initiatives involving revenue streams.

  • Firm knowledge of facility and brand including accommodation, meeting facilities, guest rooms, amenities, history and heritage, activities and local programming, etc.

  • Have knowledge about room rates, packages, discounts and promotions.

  • Participate in site inspections, familiarization tours, trade shows and functions within the hotel.

  • Actively participate in industry and hotel training programs.

  • Develop a communication and information system with the hotel team to effectively distribute details of upcoming group, meeting events, and special events in the primary marketing area.

  • Actively seek opportunities to improve systems and procedures.

  • Attend all Sales meetings and other meetings as required

  • Identify the needs of each guest and provide relevant information regarding hotel policies, services and amenities.

  • Ability to register all guests, obtaining pertinent information, and ensuring proper credit is established.

  • Perform additional assignments as required.

Job Requirements:

  • High school diploma or equivalent required.

  • Hospitality and/or customer service experience is preferred.

  • Must be able to develop an understanding of concepts, practices, pre-established guidelines and procedures used by the company in relation to guest service.

  • Must be able to communicate effectively, be polite, courteous, and responsive to our guests.

  • Must be able to speak and write the English language in an understandable manner.

  • Must be organized and detail oriented.

  • A valid driver's license is required.

  • Typing and computer skills are required.

  • Available to work when needed, including weekends, holidays, and nights.

This individual will manage external and internal-facing marketing and communication initiatives. As the dedicated marketing partner for several internal teams, this individual provides consultation, end-to-end project management, and measurement for those clients' strategic initiatives. The Coordinator will support the day-to-day operational functions of the marketing organization and work collaboratively with the broader corporate marketing and communications teams. Essential Job Function: 1. Project management: * Assess and align all work to Navient's enterprise-level and Corporate Marketing goals. * Ensuring projects support and reflect those goals. * Comunicating when clients or projects are deviating materially from their intended objectives and/or from enterprise goals. * Project-manage multiple initiatives simultaneously. * Ensure all stakeholders meet their commitments so projects are delivered on time, on budget, and on brand. * Establish success metrics for projects, take accountability for meeting them, and track and report on outcomes to clients, peers, and management. 2. Operational assistance: * Assist the VP of Marketing and team with various operational and logistical tasks. * Perform general office management tasks, supporting team members and coordinating services across multiple Navient locations. * Occasional travel will be required including to Newton, MA. MINIMUM REQUIREMENTS: * Bachelor's Degree in Marketing, Communications, English or similar area of study * 3+ years marketing experience. * 2+ years project management * 5 years of experience working extensively with Microsoft Office software. PREFERRED REQUIREMENTS: * Experience marketing business-to-business, business-to-government, public-private partnerships, or financial services highly desired. * Consulting orientation – Comfortable bringing solutions to clients, challenging preconceived notions and established practices where appropriate. * Creativity and problem solving – Able to provide creative solutions to clients' needs and challenges, even if it requires moving clients outside their comfort zones. * Multitasking and prioritization – Comfortable juggling multiple projects simultaneously, with strong prioritization instincts that help determine (especially during peak times) which projects get the most attention for the good of the business. * Customer-first mindset – Demonstrated knowledge and experience with being customer-centric. This is just as important for internal customers (business partners) as it is for external customers (clients and customers). * Self-motivation – Comfortable in a learn-as-you go environment. Training is available and this individual must be able to identify their knowledge gaps. Be comfortable seeking out information and context as necessary. * Writing – Good writing and copyediting skills * Marketing process – Moderate experience across all marketing/communication processes: scoping projects; identifying and measuring success metrics; managing drafting/editing/reviewing and other content creation steps; coordinating approval processes for legal, compliance, and subject matter experts; collaborating with a creative services team and providing general creative direction; assessing and coordinating production needs; and following projects through to completion (production, web and/or print publication, measurement, etc.). * Multimedia – Familiar with managing the development of assets for all media types (print, online, presentations, social media, video, on- and offline advertisements, tchotchkes and giveaways, etc.). * Data – Comfortable with key marketing data and how to integrate data considerations into marketing solutions, as well as analytics to assess and improve marketing campaigns * Project management and collaboration – Experienced (and comfortable) leading small- to mid-sized project teams (including external vendors, at times) for marketing and communication initiatives in a fast-paced, collaborative environment. * Technical proficiency – Experience working on PCs and high comfort with Microsoft Office programs (i.e., Word, Excel, and PowerPoint).
