I. Job Summary

This entry level professional that works as part of a team of analysts to support data and information flows that feed sales compensation calculations in both Excel calculator applications and automated calculation engines (e.g. Sales Compensation System). Serves as liaison with field sales managers and other internal teams to ensure that Sales Compensation Programs are understood and implemented appropriately.

II. Duties and Responsibilities include the following. Other minor duties may be assigned.

  • Serves as liaison with sales managers, compensation, HRIS and the Sales Comp Admin team to ensure that Sales Compensation Programs are understood, implemented appropriately, calculated correctly/timely, rewarding and retaining top performers while driving desired results across the organization. Escalates issues or questions that are complicated or sensitive to the Sales Comp Admin Manager for guidance and resolution.

  • Works with the team to create, develop and implement recommendations for process improvements, while automating the processes using technical skills where applicable.

  • Provides data and analytics using MS Office Access/Excel in order to effectively evaluate the performance vs. pay relationship of sales incentive programs. Presents metrics, benchmarks and other analytical tools to support continuous improvement of sales operations and management of the business.

  • Responsible for the coordination and collection of sales information used to calculate monthly, quarterly and annual sales bonus/commission payments.

  • Assists in the maintenance of the systems process documentation (Sales Operation Manual).

  • May coordinate and assist with the development and delivery of training for members of the sales organization regarding commission calculations and policy/plan changes.

IV. Qualifications

A. Education and Experience

Education: Bachelor's Degree (accredited) in Finance/Accounting, Management Information Systems, Business Administration/Economics, Human Resources, or similar area of study, or in lieu of, HS Diploma or GED (accredited) and four years of relevant experience.

Experience: No experience required (in addition to education requirement).

B. Certificates, Licenses, Registrations or Other Requirements

None required.

C. Other Knowledge, Skills or Abilities

  • Working knowledge of desktop software, with an emphasis on MS Office Access and Excel. Required to use Microsoft Word, Outlook, and Power Point as well

  • Self starter, adaptable to constant change and posses strong organizational, technical and analytical skills

  • Ability to analyze data and ensure accuracy of compensation costs and development of pay calculation specifications

  • Ability to work under pressure with tight timelines and deadlines

  • High level of tact and ability to handle sensitive compensation and financial information

  • Oral communication skills sufficient to make effective presentations to various levels of management

  • Self motivated willingness to learn and self teach

  • Ability to actively participate on working teams

  • Ability to work with and protect confidential information is required

This role will perform administrative duties for mid-level managers and department professionals and requires knowledge of company policies and procedures. This position is recognized as the key resource to address complicated or non-standard sales activities for the region which are often global in nature. RESPONSIBILITIES ● Directly supervises and manages assigned sales administration staff members o Establish and maintain effective working relationships with direct reports and sales staff o Coach, evaluate and mentor staff o Assign tasks, ensures the quality of work, balances workloads o Identifies and addresses performance issues o Conduct and deliver mid-year and annual performance reviews o Assist with hiring activities; conducts interviews, hires and orients new employees o Interpret, apply, and explain sales policies and procedures; identify inefficiencies and suggest improvements ● Lead and Support Renewals Administration: o Complete oversight of renewals administration process ▪ Ensures accuracy of renewal forecast ▪ Update CRM with adjustments as needed ▪ Ensure team is reviewing and reconciling auto generated opportunities for accuracy o Collaborate with sales leaders and reps to develop maximum renewal potential ● Direct Sales Support o Work with Sales Administrators, Account Managers, Regional Sales Directors and other departments on complex sales activities, which includes reconciling actual revenues to forecast and plan as well as helping new Account Managers with training on the proper paperwork and protocol for sales order processing o Provide exceptional support by ensuring quotations and legal documents are compliant with internal policies and processes. o Assist with End of Quarter activities to ensure all issues are addressed and orders are processed o Research accounts and product/order history to understand legacy, major account, or other special pricing issues o Oversight of regional sales credit split activities o Update existing CRM records with current information, which may include updating pricing and products for existing renewal opportunities, removing duplicate entries, logging notes, or other activities as directed ● Work closely with Sales Administration Manager and Regional Supervisors to share best practices and improve and synchronize processes ● May also perform other administrative duties as assigned by the direct manager or other management staff.
