Job Description:

Ingram Content Group (ICG) is hiring for a Sales Assistant to contribute to our Special Sales team in our NYC office. This person supports the sales staff by providing administrative, clerical, and customer support. They help with tracking and reporting sales information and resolving problems. They also follow up with customers, complete orders, and process sales leads. The ideal candidate will have publishing industry background and experience, or strong interest in the publishing industry.

Required Qualifications:

  • Bachelor's Degree
  • 1 year of experience creating spreadsheets in MS Excel, including creating basic mathematical

Preferred Skills:

  • Book industry experience

Key Responsibilities:

  • Prepares and organizes sales material for special market managers, including developing Edelweiss collections, editing and uploading material.

  • Processes sample orders for account managers.

  • Coordinates title projections, assists account managers with projections, and manages additional inventory.

  • Processes PO's and submits and tracks workorders.

  • Sets up new accounts and new publishers and updates title presentations and account database.

  • Updates marketing materials and manages title information as related to key titles.

  • Provides sales support for various accounts with sales reporting.

  • Maintains and tracks promotions master sheet and co-op.

  • Completes new title and status worksheets for accounts.

  • Maintains departmental tracking grids for orders, sales, and special projects.

  • Builds title lists for themed title direction.

  • Sets up and manages account reporting for weekly Focus Title Meeting.

  • Coordinates catalog and sample mailings.

  • Prepares shipped title reports for Sales & Marketing Meeting.

  • Schedules and coordinates presentations for Focus Title Meetings and Monthly Meetings.

  • Assists account managers with sales, operations and shipping queries.

Clear Channel Outdoor Job Summary: Assist the account executive in developing proposals in response to RFPs from clients and customers. Job Responsibilities: * Prepares proposals for account executives, which may include rates, descriptions, locations and photos. * Develops maps for account executives by using the appropriate software to plot locations of media products and demographic information. * Runs various reports to monitor sign postings, take downs and proofs of performance. * Communicates with the appropriate CCOA office to receive demographic information, available units and shipping instructions. * Creates ride maps of board locations for account executives as requested. * Utilizes Salesforce software, Excel, PowerPoint and other appropriate software to complete proposals. * May check and confirm arrival of board materials. * Other duties as assigned or requested. Job Qualifications: Education * Bachelor's degree preferred. Work Experience * 1+ years of administrative experience dealing with multiple team members across multiple corporate functions. Skills * Strong organizational / time management skills, with strong attention to detail. * Able to compose emails and other written documentation clearly and concisely. * Ability to speak directly with clients in a professional, courteous and articulate manner. * Able to read, analyze and interpret verbal and written requests and directions. * Able to complete required math calculations (e.g, multiply, divide, rate, ratio, percent, produce / interpret bar graphs). * Able to interpret a variety of situations and instructions furnished in written, oral, diagram or schedule form. * Able to deal with problems quickly, multi-task, and prioritize work. * Competent in Microsoft software applications (i.e., Word, Excel, Outlook, and PowerPoint.) and Salesforce CRM Systems.
