Position Description:

Performs duties to provide administrative support to the members of the sales team, senior management associated with the sales department, and customers in the execution of daily tasks or projects.

Primary Responsibilities:

  • Provide administrative support to various members of the sales team, including the Sr. Director of Sales, and Sr. Director of R&D

  • Coordinate activities related to meetings, calendars, events and projects for the sales, culinary development and R&D teams

  • Time stamp orders

  • Attend and prepare minutes for the weekly customer meeting; serving as meeting facilitator back up to the primary customer sales manager as needed

  • Assist sales team members with the allocation of expense reports related to company credit cards

  • Serve as the contact for outside customers and vendors to submit paperwork that requires completion and ensure paperwork is returned in a timely manner

  • Establish new customers and update information related to current customers in the ERP system

  • Draft or review customer correspondence

  • Support the corporate travel program by troubleshooting issues, updating the traveler database, and assisting with the arrangement of travel for the sales team as needed

  • Ensure the sales team calendar is updated weekly by following up with team members as needed

  • Coordinate internal activities associated with customer visits, including but not limited to providing notification to appropriate departments and personnel, scheduling and preparing meeting rooms, preparation of tour kits, and ensuring necessary agreements or other paperwork is completed

  • Receive, review, and approve credit requests and product returns from all distribution centers

  • Update customer projections in the demand planning system

  • Coordinate with various departments and outside vendors to prepare for customer conventions

  • Serve as back up support to Customer Account Specialists

  • Support the sales team in the distribution of mass mailings and corporate gifts

  • Perform other duties as assigned

  • High school diploma or GED

  • Speak, read and write English fluently

  • 2 3 years of office/administrative experience

  • Proficient in composing various correspondence

  • Strong communication skills, both written and oral

  • Detail oriented and strong organizational skills

  • Proficient with various Microsoft Office programs
