ADP is hiring an Administrative Support II professional. In this position, you'll couple your positive attitude, superb organizational skills and deep understanding of ADP to ensure smooth functioning of activities and processes across select areas of our business.

  • Perform clerical, administrative and office duties of a responsible and confidential nature

  • Route and answer correspondence

  • Independently establish, organize and maintain files and initiate follow up as needed

  • Compile, analyze and summarize statistics and information

  • Communicate new policies and procedures to the department and coordinate the gathering of information as directed,

  • Create formulas/formats of moderate complexity and determine hardware/software requirements

  • May coordinate off-site meetings and conventions; assist with schedule management; arrange appointments, travel, meetings, conference calls and process expense reports

  • Follow standardized formats and established internal procedures

  • Organize correspondence and email; respond to requests for information

  • Coordinate activities between departments and outside parties

  • Provide support to other members of management and department as requested


  • High School diploma or equivalent education/experience

  • Minimum of 2 years of administrative support experience in a similar environment

PREFERRED QUALIFICATIONS: Preference will be given to candidates who have the following:

  • Some college courses/specialized secretarial training

  • Excellent communication skills both verbal and written

  • Superb organization skills

  • Expert knowledge of Microsoft Office (Word, Excel, PowerPoint) with experience producing high quality reports, presentations and other documents (VLOOKUP, Pivot Tables, etc.)

  • Knowledge of or other CRM

  • Proven ability to work effectively both independently and in a team-based environment

Ability to handle confidential matters

  • Substantial knowledge of the department's operation and company procedures

  • Proven ability in assembling, compiling, analyzing and summarizing data

  • Demonstrated analytical ability in preparing reports and gathering statistical data

  • Ability to work independently on projects and anticipate and address issues in the executive's absence

  • Must be assertive, creative and innovative, with proven decision-making skills

  • Experience working with senior management

Administrative Assistant The employee manages the penalty collection program for the division. This position maintains the database and notifies employers when the appropriate penalties are due. When the penalties are not received, this position is responsible for escalating the issue to the Attorney General. The employee sends out all communications to the employer and the Attorney General's office. This position processes the entire process from the receipt of the penalty to the penalty payment and the closing of the case. Employee reports to the IOSHA Director of Construction Division. A day in the life: * Administers the accounts receivables program for Indiana OSHA. This includes contacting employers through a series of certified US Mail notifications, completing receipts for completion and forwarding to Operations for deposit. Speaks with company representatives by telephone. * Tracks unpaid penalties through Microsoft Excel, including three (3) notifications to employers and filing warrants with the appropriate county clerk office. * Processes IOSHA safety orders, including perfoming a quality check to ensure the safety orders are accurate and complete and issue the safety orders to to the companies by certified mail. * Maintains spreadsheet for High Prioirity Inspection (HPI) cases used by the IOSHA Directors, attorneys and executive staff. * Processes cases to the Board of Safety Review, including notifying the company that the case has been filed and processing any notice of contest; provides all supportive documentation to IOSHA's legal division and the Board of Safety Review Secretary. * Manages the safety orders received from the IOSHA Director on the IDOL website, including downloading the appropriate safety orders to the website and communicating to all affected parties. * Provides research assistance to the Deputy Commissioner and Assistant Commissioners, including company histories and various historical safety information.
